Getting Your Addressee/Salutation IDs for Import

If you import a lot of data in The Raiser’s Edge, you probably import Addressees and Salutations. As with most imports, some of the fields are automatically populated if you leave them blank.

This is the case when people think of Addressee ID and Salutation ID.

When you normally manually add an Addressee or Salutation on a Constituent record, you only select from a drop-down list. In fact, each one you select has an ID number similar to a Constituent ID or a Gift ID.

To get the list of IDs associated with what you select manually, we need to have a look at a report. This isn’t a report you will find in the ‘Reports’ section of The Raiser’s Edge, it’s one that’s available in Configuration.

To see this report, do the following:

  1. Click ‘Configuration’
  2. Click on ‘Addressee/Salutations’
  3. Click on ‘File > Preview > Addressee/Salutation Report’

A preview should come up and display information. It will be provide columns with data such as ‘Field Name’. Above this, you would see a digit followed by a sample piece of text. An example shown below:

You can see above that I have ’48. Mr William Smith. 999999’ - below you can see that I have ‘Title 1, First Name, Last Name and Constituent ID’. This is the format in which the sample text is represented in.

48 – ID Number (This is what you will use in the Import)

Mr – Title 1

William – First Name

Smith – Last Name

999999 – Constituent ID

Now, you can take the ID ‘48’ and put it in your import file. You can use a different ID for both your Addressee and Salutation.
