Easy Steps to Manually Update a Giving Score Rating in The Raiser's Edge

Have you ever looked at an individual in your Raiser’s Edge and realized that their Giving Score rating is completely wrong? Do you have VIPs marked as Acquaintances or Long-Shots marked as a Fan? While our analytics team at Blackbaud has worked tremendously hard at correctly categorizing each individual in your database, nobody is perfect and there are times when you might need to change a Giving Score rating. So whatever the reason why you may need to change a rating, here is a step-by-step guide to making the change as well as some things to keep in mind when making the change.

Follow these steps:

  1. Open the Individual Constituent record for the Giving Score rating that you want to change manually.
  2. Locate the score at the bottom of the record. (Please keep in mind that while this rating is available on both Individual and Organization constituent record types, Blackbaud can only provide a score for Individual records. Additionally, Blackbaud can provide the Giving Score Rating only for Constituents with US addresses.) Giving Score Rating on Individual Record
  3. Click on the Giving Score Rating.
  4. Click the radio button called “Use your score:”

  5. Click the drop down menu and select the rating that you want to select for this individual.
  6. Click “OK”

You should now notice that the rating at the bottom of the record has been updated to the rating that you have just chosen.

Additional Considerations:

  • Take Note! If you manually override a Giving Score rating, we strongly suggest creating an Action or Note on the individual’s record so that everyone at your organization can see who made the change, when it was made, and the reason why you changed the rating. This will allow for much better data integrity and tracking within your database.
  • Where in the world? Just because you change the Giving Score manually, doesn’t mean that the original default rating assigned by Blackbaud is gone forever. There is always a way to go back and locate the original score on the Individual’s record. If you have the RE:Search optional module, you will have a Prospect tab. If you do not have that optional module, you will see a Ratings tab instead. On those tabs, you will be able to see the original rating for that Individual as well as the date that it was rated.
  • How Querious? When you manually update a Giving Score rating on an Individual record, the new rating that you have chosen will be the rating that is used in queries and reports that you create rather than the original.
  • Change Happens. The longer you track this information, the more likely it is that you will need to manually change a Giving Score rating again. This is a natural byproduct of your moves management efforts as you continue to develop your prospects into donors, your donors into recurring donors, and ultimately make them major donors. Every time that you open the Giving Score rating to manually make a change, it shows you the last time you updated it. Keep in mind that once you’ve changed the rating again, it is important to create another action or note to track why you made the adjustment.
