Does Electronic Gift Aid Declarations meet HMRC requirements?

When claiming Gift Aid on donations through NetCommunity, Online Express, Blackbaud Mobile for Text Fundraising and Everyday Hero\Heroix does an Electronic Declaration meet the HMRC requirements?

After discussions and a thorough investigation with the HMRC we can confirm that Electronic Declarations taken from NetCommunity, Online Express, Blackbaud Mobile for Text Fundraising and Everyday Hero\Heroix does all meet the requirements of the HMRC.

After questions were raised regarding HMRC guidance section 3.72 a HMRC Investigator investigated the use of the systems and provided the feedback below:

The wording of this particular part of the guidance [3.7.2] is confusing but refers to the transcribing of paper Gift Aid declarations into a database.

A Gift Aid declaration captured electronically online on a system such as your product is acceptable and satisfies our audit requirements as there is evidence the donor has opted to gift aid their donation and when this was done.

However the transcribing/copying of data from a paper declaration into a database is not acceptable as there would be no evidence that the donor has opted to gift aid the payment. Charity’s must keep the paper declaration or a scanned copy in order to show that the donor has made a Gift Aid declaration.”

To confirm, this means our online donation forms and the way we record online Gift Aid Declarations in our product databases remain compliant with HMRC guidelines and no product changes are required.

Hi Christopher - I just wanted to confirm that this article still stands as accurate since it is dated back in 2016? Are electronic declarations from Online Express still complaint HMRC requirements?
