Oh, the Birthday Parties and Holidays: Managing Your Events

My family members all seem to have birthdays around this time of year—the holidays. The thought of so many events, with so many people, and all within three months is both joyful and nerve-racking! Trust me, the event planning can really become chaotic.
Events can also be chaotic for many organizations. But the event planning process doesn’t need to be. Yes, you can have a successful event without pulling out your hair—if you follow some simple guidelines:
  • Define the purpose of the event – Why is everyone getting together?
  • Create the event record – How will you manage the myriad event details?
  • Add and track participant details – Who is invited? What information do you want to know about them?
  • Assign participants to groups and seats – What is the venue capacity? How will you organize seating arrangements?
  • Analyze and review – How successful was your event? What would you do differently?
As for me, I’ve learned to delegate responsibility. But I still like to make sure things are in order and everyone enjoys themselves. I still send invitations and thank-you cards, and I think about how next year can be even better. There’s always room for improvement, right?

We are new to RE (less than a year) and are still figuring out best practices for managing events in RE. This is very helpful!
We've started making sure every event we hold has a purpose, a goal, and metrics. Some of our legacy events, although they are fun, they just do not serve a purpose anymore, so we are looking for ways to create a purpose for these events. Metrics help us track how we're doing. Love this!
Great information!  The key is being diligent about entering information into the event record.
