Mail Series Part 3: How to edit an existing letter in the Mail Module

   Sometimes you may find a letter in the Raiser’s Edge that your organization has been using for years. It is almost perfect for your upcoming fundraiser, but may need a few small tweaks. For example, you may need to edit some of the wording for a different event or add another merge field for a specific appeal. Instead of creating a brand new letter, it may be easier just to edit the existing letter and, in turn, can save you some time! In the Raiser’s Edge, we can edit existing letters in mail merges by following a few simple steps.
 


   To edit an existing letter in the Raiser’s Edge, we need to open up the existing mailing parameters in Mail and select Send to Word Merge wizard. Remember, there needs to be at least one gift that is not acknowledged in order to access the Mail Merge Wizard. Once the wizard opens up, we will select Next and be sure to select No when prompted to mark the gifts as acknowledged. This is recommended since we are editing a template and not actually running the letters to be sent to the donors. When prompted, select whether the mailing is either a conditional mail merge or simple and select Next.
  1. If simple mail merge is selected, press Edit Merge Document button when you see it to update the letter.
  2. If conditional mail merge is selected, when you see the list of letters, double-click on the row. A new window will pop-up. Then press Edit Merge Document to work on the letter.

   Now you will be able to open and edit existing mail merge documents. We can make the necessary changes and Save and Return to RE7 from the Add-ins tab. Back in the wizard, press Next until you reach the last screen to save and Finish the merge. Once you have checked your letters, make sure to select Save and Close on the mailing parameter for future mailings!
