Altru 3.1: How to Get Started with Merchandise History

Here’s a short course in how to best take advantage of the merchandise changes in Altru 3.1:

Day 0: When Altru 3.1 is deployed, the Cost and Quantity of all items will be put on hand as a Physical Inventory Count transaction. If an item has a negative quantity, we’ll just set it to Zero. The next time you receive a shipment in Altru, the current inventory value, in addition to the value of items received, is used to update the average cost. In the example below, the new average cost after the shipment of 15 units would be $11.50. (Bonus points if you can do the math on your own … or just check the Inventory tab.)

You can always reset the average cost later with some quick trickery - adjust the quantity to zero, then receive a new shipment at the desired avg cost and quantity.

Day 1: You have History! Well, not yet really…you have to create history! Feel the power? The next time you receive a shipment, use one of the two new methods we’ve provided to add items to inventory.

  1.  Change Inventory form – Choose Add inventory shipment to create a new history record for a specific item, and Altru will update the quantity on-hand and average cost for you. NOTE: The Set physical count and Adjust quantity options do not affect the average cost. These transactions only adjust the quantity on-hand.inventorychange
  2. Inventory Batch – Choose Update inventory to create a new batch an d receive multiple items at once!

Top 3 reasons to use Batch for receiving inventory:

  1. No need to Search - I can scan items into the batch by their SKU or UPC!
  2. No need to Edit later - I can update item details like Price and UPC while receiving inventory!
  3. No need to Add - I can create new items as-needed, on the fly, and just in time!

And in a future release, we’ll give you the ability to print labels for items in a batch, so the full process to receive and stock items will be much simpler if you’re using batch.

Day 2 & up: What else do you need to know?

With the new history structure, there are a few nuances with how some data is stored and tracked. Since we will be releasing new Merchandise updates over the next few months, some quirks may exist in the short term. For example, receiving a dimensioned item (like a Large T-shirt) from a new vendor will effectively update the vendor for other dimensioned items (like the Medium and Small variants). We recommend you attend a training session this week to get more details.
