Champion Tip: Check Out Their Favorite Reports

Our champions are our Altru power users. They're knowledgeable and constantly working in the database, running reports, pulling queries, digging in the data. Altru comes with a ton of built in reports. If you're not sure which ones you should be using, here are their favorites:

KateAmbash

Kate Ambash, Discovery Museum

We use the Zip Code Report monthly if not weekly to determine where our users are coming from. Before we converted to Altru, all of this data was done manually, from receipts. This information is essential for reporting demographics for marketing purposes as well as funders.

Champ - SamKnox

Sam Knox, Museum of History and Industry

We use the Event Attendance report all the time to look at Admissions alongside other programs. It gives us the best view of what our daily, or monthly overall attendance is.

We use the Membership Conversion report to keep track of renewals, people who haven’t renewed, and to be able to calculate our renewal rate month to month.

At the RISD Museum, we print out the Daily Schedule and the Daily Reservation reports on a, well, daily basis to inform our Visitor Services staff and guards about the events that day and any groups that will be arriving. The Daily Schedule report also provides our custodial staff with instructions for setting up rooms or galleries. We previously created a combined report from queries dumped into Excel but that was time consuming and therefore only happened at the beginning of the week. Of course, the report was always out of date by Tuesday! Having the schedules available on a daily basis makes sure everyone has the most recent information and is better able to support our visitors.

I love the Group Sales Revenue report – it makes following up on orders with outstanding balances a much more manageable task. I particularly love that I can easily sort by the unique Group Types that we have set up at our organization to pull up really targeted lists of reservations.

I’m also a big fan of the Event Attendance report, just because it seems like the one thing people are always asking me on the fly: “how many people came to the ___ program last week?”
