Budget Imports-DEMYSTIFIED! (Part 1)

You may be thinking to yourself, “Importing into The Financial Edge can be tricky!” In this blog, we will discuss key details in importing budgets and what is required to successfully import without any of those pesky exceptions!

In order to import either an Account Budget or a Project Budget into The Financial Edge, we will need to have a CSV file with very specific information that is mapped within our import parameter. In both types of imports, we will need to have our budget’s Scenario Import ID or our budget’s Scenario ID-Fiscal Year.  We typically recommend using the Budget Scenario Import ID, as this is one string of numbers and letters that the system creates for you! To find the Budget Scenario Import ID, we will want to create our budget first.

Let’s navigate to General Ledger, Records, Budgets, and click the New Budget button. Within this screen, we will need to select our Scenario ID and the Fiscal Year that we want to create our budget for. We will click Load Now, which will load the budget for us and allow us to gain the Budget Scenario Import ID. To find this, let’s stay within the Budget, click save, and then go to File and Properties. Once we have selected Properties, we can see that the last option in the box is the Import ID. The value listed next to that is the Budget Scenario Import ID. The Budget Scenario Import ID will need to have its own column in the CSV file, and the value will need to be in each row of your CSV file upon importing.

If your organization does not want to use the Budget Scenario Import ID, you also have the option of formatting this column in your CSV file as the Budget Scenario ID-Fiscal Year. To create this value, you will need to have your Scenario ID listed first with a hyphen and then the Fiscal Year that the budget is for. This would need to be in each row of the import file.

Once we have added either the Budget Scenario Import ID or the Budget Scenario ID-Fiscal Year to our CSV file, we will need to verify that we have the other required fields when importing budgets. For sample CSV files, please click on the Knowledgebase solution above and select Account or Project next to Fiscal Year Budget.
