Create W-2s

Hello and Happy New Year!   The beginning of the New Year is also the beginning of tax season.   It does not matter if you are printing your W-2s or e-filing, you still need to know how to create the W-2s.

Once you have determined how you would like to file your W-2s:
  1. If Aatrix hasn’t been installed on the workstation before, you’ll be prompted to install when you try to access State and Federal Tax reports from Mail for the first time. Before you proceed with the install, you will need a user who can log on to the workstation as a local administrator.
  2. Before signing into FE, right click on The Financial Edge Icon and choose to run as an Administrator. From there, log into FE with the username Supervisor, to then go ahead with the Aatrix install.  NOTE: The user must be a Windows Admin to install/update Aatrix.
  3. In Payroll > Mail > State and Federal Tax Reports > Highlight Federal Tax Reports. Click New at the top. From there, select the 2017 year W-2 in the Report Name field. If you only see 2016, this will be updated to 2017 once Aatrix updates. Once selected, go ahead and click Display Report to start the W-2 Wizard. Click “Yes” to any prompt to install quarterly Aatrix updates so your reports will be as up to date as possible. 
  4. The W-2 Processing Wizard and Preparer Grid will guide you through the rest of the steps! If you preview your W2s and notice “Demo Do not File” across the top. This simply means the Aatrix registration has expired. You can easily generate a new, free registration code from Aatrix by taking the steps here
If you create the forms and realize that you forgot an employee you can reprint the W-2 for that employee.
