Year End Receipting || Querying

January is around the corner and I’m sure you are going to want to contact your constituents to say thank you for their donations in 2014.  Some of you will even need to generate an actual receipt number for your donors.  I thought it would be good to have a break down on how you can accomplish your year end letters.

Querying

First, you need to make sure you have your clean mailing list query together.  You don’t want to mail to deceased accounts, bad addresses, people that do not want to be solicited, etc. Lucky for you we have all the steps outlined in a handy Knowledgebase solution.

Second, you need to pull out your 2014 donors from the clean mailing list query.  The type of query we need is outlined in Knowledgebase here, but I’ve provided the steps just in case.  Notice step 5 we are using the Clean Mailing List query as our Starting Criteria:

  1. Click the Queries button on the menu bar
  2. Select a category that you want to store this query in (Ex: Base)
  3. Click New Query under the Tasks menu
  4. Name the query 2014 Donations From Clean Mailing List
  5. For Starting Criteria, choose Category: (Ex: Base) Query: Clean Mailing List - A
  6. Set the Data Return Type to Journal Entries
  7. Select All of My Criteria under MATCH
  8. Select Commonly Used Fields from the Available Fields drop down box
  9. Select Journal Entry Date from the list of links
  10. Type 1/1/2014 and 12/31/2014
  11. Select Individual Transaction Received from the list of links
  12. Choose Greater Than Or Equal To.01
  13. Click Save And – Preview
