Automatic Email Engagement with Applicants

Our team is hoping to find an automated way to push out an emails to applicants at Day 15, Day 45, etc. and we are curious if anyone else has figured an efficient way to do this? Because each applicant might begin the application process at a different time, it can be unwieldy to have many different applicants on different email schedules, so trying to consider the options available versus creating an admissions checklist item to prompt us manually.

    Hi @Geoffrey Goodfellow - I don't have a great answer for you today, but I wanted to chime in to let you know we're going to be adding a new option for tracking due dates for checklists in 2024 that may help with this. Right now you can set a specific due date for a step on the overall checklist, but if an applicant needs a different due date, you have to change that on their individual record and you lose the notifications that go with it. We're going to be changing that functionality, so you'll have the choice whether to set a specific due date for a step on the overall checklist or if you want a due date assigned based on when you assign that checklist to an applicant (ie. due date for Step A will be 15 days after checklist is assigned, and due date for Step B will be 30 days after assigned). This will allow you to have individualized due dates while still being able to take advantage of automated notifications, which will hopefully help with some of your workflow!

  • @Kelsey Huijgen, do you know if the reminder emails can be HTML formatted to be a little more engaging than a plain text reminder? I know for official notes, I can have this ability, but rather than have a checklist item that reminds a staff person to send out an official note, I like your idea here where the checklist reminder itself could serve as the targeted email.
