Administrative/Development Assistant

Pretend City is looking for a detailed, service-oriented individual to join us supporting our senior leadership team. The Administrative/Development Assistant will be responsible for providing a wide range of administrative, communication, and logistical services support. This role includes managing schedules, coordinating meetings and written correspondence. This role will also include the preparation of presentations, tracking of key actions required and direct liaison with senior level stakeholders both internally and externally across all departments.

What you’ll be doing
  • Assist leaders with calendars; making arrangements and reservations for conference calls, meetings, training, off-sites, as needed.
  • Use a high level of confidentiality as the communication gatekeeper to facilitate communication, and escalate issues to ensure team deliverables are met, including email messages and calendar of events when necessary.
  • Provide support by being able to develop and prepare Excel and PowerPoint documents and presentations.
  • Be established as the subject matter expert in Outlook & Teams for the group, and a resource to help get the most effective and efficient use out of the software.
  • Prepare/maintain calendars, reservations, expense reports and arrangements.
  • Strong sense of urgency, accuracy and accountability; responsive to the changing business needs
  • Requires independent, self-sufficiency, strong time management and ability to maintain multiple tasks
  • Assists with special events as needed
  • Conducts prospect research
  • Database management and donor stewardship
What your background looks like
  • 2-3+ years of experience in an administrative capacity required- preferably supporting multiple executives
  • Detail oriented and able to balance multiple responsibilities while prioritizing and organizing workflow
  • Proficient knowledge of PowerPoint, Excel and Outlook software
  • Effective verbal and written communication skills are a must
  • Must have self-confidence and comfort level with exercising professional assertiveness to ensure tasks get executed by team members
  • Proven track record in roles requiring confidentiality and sound judgement
  • Must be able to work independently and demonstrate solid problem-solving abilities
  • Must possess excellent people skills and be able to work in a team
  • A track record of strong organizational skills and ability to contribute to smooth administrative and support process
  • Proficiency in donor management software required
  • Experience in Altru and BoardEffect a plus
