This position provides administrative support to all areas of ICF and coordinates various types of events. Duties include managing phone system and front office customer service, building administration and logistical event management. Is an integral part of the team, maintaining a broad knowledge of ICF operations and policies, providing administrative support, while prioritizing and tending to the professional needs of team members on a daily basis.

EDUCATION AND EXPERIENCE QUALIFICATIONS

  • Associates degree or equivalent education preferred.
  • Minimum of one year of experience in areas listed in position summary, nonprofit experience is a plus.
  • General technology knowledge base and comfort answering basic questions.
  • Experience with CRM software and Microsoft products.

ESSENTIAL FUNCTIONS

Office Management

  • Serve as first point of contact in phone and front office interactions.
  • Oversee office supply ordering and serve as liaison with repair services for office machines and building maintenance.
  • Manage incoming and outgoing mail.
  • Send donor acknowledgment letters.
  • Manage shared staff and room calendars.
  • Provide general constituent support.
  • Update constituent and grantee records in database.
  • Support ICF staff in assigned project-based work.

Event Management

  • Provide support for event leader.
  • Manage use of event software (Raiser’s Edge).
  • Research and reserve venues, caterers, and other logistical items.
  • Track RSVPs and payments.
  • Coordinate invitation lists and mailings.
  • Communicate with sponsors and attendees.
  • Assist with set up and clean up as needed.

SKILLS AND CAPABILITIES

  • Excellent project, time management and problem-solving skills including the ability to articulate progress, concerns and recommendations.
  • Ability to compose professional correspondence from notes, discussions or independently from knowledge of circumstances and policy.
  • Leadership skills to work effectively with management, staff, and donors for efficient implementation of the strategic goals of ICF.
  • Tact and diplomacy in addition to handling large amounts of confidential material with discretion and operating with independent judgment and initiative.
  • Excellent organizational skills.
  • Experience providing support and taking directives from multiple supervisors and coordinating projects.
  • Demonstrate integrity, professional maturity and strong work ethic.
  • Proficiency in Microsoft Office to include Word, Excel, PowerPoint and Outlook.
  • Integrated database knowledge helpful for Raiser’s Edge and GrantedGE.
  • Technology savvy with additional Microsoft products is a plus.

PHYSICAL AND OTHER REQUIREMENTS

  • While performing the duties of the job, the employee is regularly required to sit, maneuver around building, stand, kneel, stoop, crouch, reach with hands and arms, talk and hear. Employee will need the ability to operate general office equipment and regularly lift and move up to 10 pounds and frequently lift and move up to 25 pounds.   • May need to travel periodically throughout Idaho and occasionally outside the state.
