Rockford University seeking Philanthropic Operations Coordinator

Rockford University is accepting applications for the position of Philanthropic Operations Coordinator. As a member of Advancement, the Coordinator is an essential partner in enhancing the visibility and philanthropic support of Rockford University. Reporting to the Director of Alumni Engagement and Philanthropic Strategies, the Coordinator provides gift processing, record management, database and technology support, and the management of revenues, database functions, and general operations of the Advancement office. Responsibilities:

  • Process all gifts received by Advancement, including but not limited to: opening, sorting, and preparing gift mail – depositing all checks and cash received through Advancement – coordinating credit card gifts and online gift processing – coordinating matching gift requests and payroll deductions – managing recurring donor gift payment schedules.
  • Prepare and enter daily gift data batches, including but not limited to: reviewing received revenue to ensure complete documentation – preparing documentation for scanning and entering into batch – preparing gift adjustments.
  • Edits donor acknowledgment letters, pledge reminders, and other correspondence, personalizing based on the complexity of the gift to continue the cycle of stewardship and future gifts to Rockford University.
  • Provide gift documentation to department fundraisers as needed to ensure accuracy of entry and timeliness of donor acknowledgments.
  • Maintain knowledge of basic tax code for charitable contributions and guidelines established by the Council for Advancement and Support of Education.
  • Produce gift receipts/acknowledgments in compliance with IRS gift policies.
  • Track payments on pledges for routine review by Advancement.
  • Conduct monthly reconciliations with the Business Office.
  • Be the Advancement Liaison with the IT Office.
  • Manage requests to create new constituent records and maintain existing records in the Database Management System (Raiser’s Edge NXT).
  • Complete special data entry projects and oversee student worker data entry.
  • Perform biographic and demographic updates of records in the database, including annual imports.
  • Coordinate procedures for retention, retrieval, and disposal of gift and donor records
  • Run Structured Query Language (SQL) reports and exports for inter-departmental data requests.
  • Work to develop internal policy documentation and training materials.
  • Strong focus on customer service and proactive problem resolution.
  • May staff evening and weekend events as needed.
  • Additional duties as assigned.

The successful candidate should meet the following requirements:

  • Bachelor’s degree in an appropriate area of specialization. Degree requirements may be substituted with an equivalent combination of education, training, and experience.
  • Minimum two years of relevant experience, preferably in philanthropy, development, or non-profit.
  • Excel proficiency required.
  • Ability to work in a fast-paced environment and successfully manage competing deadlines.
  • Ability to handle confidential, sensitive information with the highest degree of professionalism.
  • Strong ability to read, synthesize and analyze large amounts of complex data containing confidential information.
  • Must be well organized and possess attention to detail.
  • Must have demonstrated the ability to use good judgment and critical thinking.
  • Must be willing to learn new software applications.
  • Ability to establish and maintain working relationships with staff from diverse backgrounds and demonstrate sensitivity to cross-cultural perspectives and experiences.

Preferred Qualifications:

  • Familiarity with Raiser’s Edge, Access, or other relational database software.
  • Familiarity with Vista Views, Crystal Reports, or other SQL-based reporting software.
  • Experience in a higher education fundraising office.
  • Budgeting Experience
