Role Summary

The Development Assistant provides administrative support to the Development Office. Reports to the Manager of Gift Recording and provides assistance to the Annual and Alumni Giving, Major Gifts and Event programs. Responsibilities include processing gifts and acknowledgments to donors, creation and mailing of merged letters, maintenance and updating of donor records, copying and filing, and generation of various routine and ad hoc reports.

Essential Functions

  • Enters gift information into the “The Raiser’s Edge” database through gift batch, and prepares/deposits checks and cash in accordance with MEE procedures and on a timely basis.
  • Prepares gift receipts and acknowledgment letters to donors; identifies situations involving special handling procedures and responds or refers to appropriate development staff for attention.
  • Prepares tribute (honor/memorial) notifications to next of kin or doctors
  • Assists with credit card donations, when needed.
  • Prepares mail merges.
  • Assists with the maintenance of the fundraising database, ensuring that records are accurate.
  • Opens daily mail and photocopies donation information. Prepares for gift entry by sorting the gifts into appropriate batches.
  • Responsible for accurately filing all correspondence in donor/prospect files and maintain the file cabinets so they are easily accessible to staff.
  • Responsible for departmental main phone line relief and provides additional administrative support to all programs and department events, as needed.
  • Complies with all State, Federal, Local regulations and laws governing the performance of this position with this department.
  • Adheres to all of the Infirmary’s policies and procedures, attends annual Infirmary education, and is aware of and maintains the confidentiality of information, patient information and employee information.

Qualifications

  • High School degree or GED
  • Accounting experience preferred
  • Exceptional written and verbal communication abilities
  • Accuracy, attention to detail, highly organized
  • Proactive sense of personal responsibility
  • Excellent computer skills, proficient in the Microsoft Office suite of products.
  • Familiarity with fundraising software a plus.
