Development Database Manager - Marshall B. Ketchum University, Fullerton, CA

JOB SUMMARY

Under the direction of the Vice President for University Advancement, the Development Database Manager is responsible for the comprehensive management, performance, integrity and security of the donor and alumni management system. This individual will provide support to the University Advancement team in the daily utilization of the Raiser’s Edge (RE) database by providing skilled support to the fundraising team with an emphasis on gift administration & data management, including gift entry, gift receipting, report management, list queries/exports, database updates and the online/web-based gift presence. Individual provides data, reports and analysis to ensure the successful implement of the MBKU fundraising, alumni relations and stewardship programs. They will serve as the point of contact for reconciliation of all contributions and expenses with the Finance & Accounting Department. This individual[JR1] will serve as the primary manager and super user of the Raisers Edge database and provide training and support to UA and other staff across the organization as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manage all database information through Raiser’s Edge (RE) and Raiser’s Edge NXT (RENXT) and utilize all features available through the RE contract for MBKU.
  • Create, update and maintain donor and alumni records, complete data entry for gifts and pledges in a timely manner and process necessary paperwork and batches accurately and in accordance with IRS guidelines.
  • Manage regular reconciliation and fund alignment with Accounting Office, including posting to the general ledger, documentation for auditors, and fiscal year reports to ensure accounts are balanced.
  • Work collaboratively with development staff to prepare and send donor solicitations, pledge invoices and other necessary gift paperwork for gifts and pledges.
  • Responsible for uploading of private grant narratives and budgets into the proposal module of RE and budgets and guest lists into the RE events module.
  • Assure the accuracy of data within Raiser’s Edge by utilizing data entry standards[JR2] and processes to enhance productivity and by performing regular periodic auditing and clean-up of data, utilizing tools like RE Address Finder and Deceased Finder programs to maintain data integrity.
  • Create new campaigns, appeals, and events in database and create event registration and donor forms for RE Online Express and the website.
  • Create online event registrations and donation pages as needed by development staff to integrate with the university’s online giving portal.
  • Collaborate with development staff to build queries and exports for invitation and solicitation purposes for all event fundraising programs and build Online Express alumni and donor communications, event RSVP lists and gifts as necessary.
  • Responsible for all individual or global uploads of data and records, including annual[JR3] wealth engine screening data.
  • Organize and prepare data to prepare Donor Endowment Reports and Donor Impact[JR4] Reports annually including honor roll, benefactor lists, charts and graphs.

QUALIFICATION REQUIREMENTS

  • 3+ years experience in a similar position using RE, RE NXT or a similar donor prospect management system in a non-profit environment.
  • 3+ years experience in a similar or related position with a non-profit or higher education organization.
  • Excellent computer skills and database management proficiency.
  • Detail-oriented, highly organized; able to set and meet goals and deadlines and to produce accurate work.
  • Strong data analysis, organizational, communication, administrative, and computer skills required.
  • Professional attitude; team player; able to collaborate to set and meet team goals and deadlines.

MACHINES, TOOLS, EQUIPEMENT, ELECTRONIC DEVICES AND SOFTWARE:

  • Raiser’s Edge or a similar donor and alumni database.
  • Microsoft Office Suite including Word, Excel, PowerPoint and Outlook.

PREFERRED EDUCATION AND/OR EXPERIENCE

Required

  • Bachelor’s Degree or 3+ years of experience at a non-profit organization in a similar position.
  • Completion of Raiser’s Edge or a similar donor and alumni database training.
  • Knowledge of gift types and detailed understanding of IRS charitable giving guidelines.
  • Intermediate or higher level proficiency in Microsoft Office Word, Excel, Power Point

Preferred:

  • Experience working with an alumni and donor database.
  • Valid California Driver’s license and reliable means of transportation.
