Database Manager
Job Description
As a key member of the Advancement and Partnerships team, the Database Manager ensures the accurate tracking and reporting of all gifts, grants, and pledges to the Levine Museum of the New South. This detail-oriented individual is adept at managing Altru or another fundraising database with highly detailed reporting, policies and procedures, is required to make decisions and judgments involving the proper entry, allocation, and documentation of all gifts and pledges, and is responsible for producing all acknowledgment and renewal communications.
The Database Manager also works closely with colleagues in Finance, Marketing, Guest Services and Programs to cultivate and steward Levine Museum’s relationships with individual and institutional donors and participates in planning and executing membership and donor events.
Essential Duties and Responsibilities:
Altru Database Management
- Maintains the donor database ensuring that it is up-to-date and accurate;
- Manage duplication identification, merger, and inactivation processes;
- Receives and processes donations and pledges;
- Works with Finance office to ensure accuracy between the general ledger and donor database and supports Finance during annual audit;
- Understands and implements best practices in all areas of department activities and especially related to properly capturing donor information (biographical, geographical, and other information as appropriate);
- Develops analytic and reporting tools necessary to maintain an informative prospect pipeline that relates directly to the goals and targets;
- Runs regular and customized reports through Altru.
Communications
- Generates monthly membership renewals, pledge reminders, gift acknowledgements, and giving statements;
- Works with Development to generate and track quarterly appeals;
- Maintains mailing lists for Museum mailings;
- Serves as a Museum ambassador to donors, handling inquiries, solving problems, and providing assistance where necessary.
Grants Management
- Works with Development and Program staff to identify grant opportunities;
- Coordinates the grant proposal development process and ultimately ensures the complete and timely submission of proposals;
- Manages the grant tracking calendar, ensuring the timely and complete submission of grant reports.
Development Events
- Assists with planning and managing donor cultivation and appreciation events, as well as fundraising events, including the major annual event;
- Tracks the success of events in meeting goals and participates in post-event evaluation.
General
- Serve as the database subject matter expert for all departments and the primary contact with Blackbaud;
- Assists the Development team in creating annual and long-term goals with associated strategies to support fundraising efforts;
- Tracks expenses against budget, creates monthly reports, and works with appropriate colleagues to identify and solve potential problems.
Job Qualifications:
- An appreciation of, and dedication to the mission of Levine Museum of the New South;
- Bachelor’s Degree preferred, or equivalent combination of education and experience;
- Expert knowledge of MS Office, Excel, Word, and development software; Blackbaud’s Altru system or CRM system experience preferred;
- Experience with data import/export, queries, and generating reports from a fundraising database;
- 3-5 years of experience working in a Development office;
- Excellent communications skills – written, verbal and inter-personal;
- Knowledge in areas of financial controls, gift acceptance, accounting, and information systems/database management;
- Ability to juggle multiple objectives/projects simultaneously, with strong organizational skills, attention to detail and impeccable follow-up;
- Demonstrated ability to take initiative, anticipate needs, solve problems and provide excellent service to internal and external constituents;
- Ability to work collaboratively with staff and Board to support professional and effective donor communications;
- Experience in nonprofit fundraising is a plus;
- Unwavering commitment to protecting the confidentiality of donor information.
