Job Summary: Responsible for the integrity and accuracy of the School’s constituent database.
This is done by creating and maintaining the accuracy and input of all new and existing constituent and corporate database records for students, parents, alumni and donors, including their participation in events and activities. Serve as additional staff for donation entry and
weekly/monthly deposit reports as needed. Assist as needed in the Business Office’s monthly
Development Department reconciliations for all Brophy College Preparatory donations. Act as
contact person for any outside Brophy email distribution lists (iContact), except alumni news and
events invitations. Run reports with contact lists for those needing invitations for events, etc.

Responsibilities:
● Enter and maintain updated information for all constituent data and relationship records in
Raiser’s Edge/NXT.
● Maintain Raiser’s Edge/NXT database in a manner that ensures the integrity of the data and
maximizes fundraising success, including updating duplicates, deceased or inactive
constituents, bad addresses and donor solicitation preferences.
● Maintain accuracy of constituent biographical information by performing periodic auditing
and cleanup of data and performing a yearly NCOA.
● Provide, support and identify training in support of staff members’ accurate and appropriate
use of Raiser’s Edge/NXT including data entry, reports, queries, and exports as needed.
● Assess and update documentation of database processes and procedures.
● Annually prepare and import new constituent data (incoming class and parents) and updated
returning constituent (graduating class and parents, returning students and parents) data in
the Raiser’s Edge/NXT database.
● Run all Annual Report donor listings and chart donor levels according to Campaigns, Funds
and Appeals, including Alumni and Class Parent Campaign Giving. Complete Fiscal Year
donations must be accurate and agree with the Business Office and auditors.
● Run weekly and monthly financial reports for the Development Office as needed.
● Run various queries and reports and convert these PDF files to Excel documents as needed
for the President, Chief Development Officer, Business and/or Alumni Offices as requested.
● Maintain Brophy’s iContact database of alumni, parents of alumni, and friends with updated
emails by preferred listings.
● Send President’s Office and various other departments group emails to all constituents not
in MyBrophy. This includes tracking of those emails through the Dashboard in iContact.

● Act as administrator with iWave fundraising software, working with the Chief Development
Officer as needed.
● Assist in solicitation phone calls to freshmen parents for the “Men of ” Campaign annually
as needed, entering all conversations noted under the RE “Actions” tab.

Qualifications Preferred:
● Bachelor’s degree and 3-5 years’ experience in computer fundraising software
● Comprehensive knowledge of Blackbaud Raiser’s Edge/NXT software
● Excellent Microsoft Excel skills, including formulas, sorting, filtering, pivot tables, etc.
● Excellent communication skills, including phone and written communication with parents,
alumni and donors
● Organized and highly detail oriented in all aspects
● Knowledge of iContact or similar bulk email software
● Familiarity with Wufoo Forms, Survey Monkey, iWave, and AlumniFinder software
● Drive for excellence in work presented and interactions with others
● Willingness to help others, whenever and however needed
● Friendliness and openness in working with a team
