SPCA of Texas - Database Coordinator

Essential Functions of the Position:

The Data Services Coordinator serves on an integral team of the SPCA of Texas and is primarily responsible for the accurate and detailed maintenance of the organization’s database, Blackbaud Raiser’s Edge. With over 300,000 records to regularly audit for data health and to mine for prospects and donor pipeline movement, the Data Services Coordinator plays an imperative role in the success of the SPCA of Texas’ fundraising efforts. This role will be held responsible as the key individual performing prospecting duties while also supporting the Data Services Team with regular gift entry and data maintenance.


Essential Duties and Responsibilities:
1. Conduct research on prospects and on those as requested by other staff members, to include wealth capacity rating, giving history, and SPCA of Texas involvement and create donor profile documents for Gift Officers.
2. Run and review regular data audits to ensure accuracy, including but not limited to including queries on proper addressee/salutations, acknowledgements, past due reports and duplicate constituent reports, maintaining industry best practices for data management.
3. Collaborate with Gift Officers to ensure the timely and accurate completion of routine call reports, gift acknowledgements, solicitation and cultivation mailings and event invitations. Support Gift Officers with other various administrative tasks, such as scanning documents and files to donor records and making appropriate updates to those accounts.
4. Confirm all corporate and foundation matching gifts, manage all employee giving campaign downloads and ensure records are kept updated.
5. Update donor records from lock boxes, returned mail, donor surveys, and other platforms in an accurate and timely fashion.
6. Assist the development team on special projects and events as they are identified, including but not limited to, generating mailing or suppression lists, gift and data entry, and attending and supporting SPCA of Texas hosted events.
7. Actively engage with volunteers in such a way that provides support for our volunteers and staff and proactively improves our volunteer program.
8. Be an ambassador for the SPCA of Texas, sharing the work and mission with your friends and family and be knowledgeable of the various ways to support our work.
9. Other duties as assigned.

Knowledge, skill, and abilities needed to perform the Essential functions of this position:
1. Bachelor’s degree from an accredited university or equivalent experience
2. Strong experience in Constituent Relationship Management (CRM) tool required. Preference given to those with experience in Raiser’s Edge 7.0 and NXT
3. Preferred experience in prospect research and management.
4. Strong knowledge of MS Office (Word, Excel, Outlook, PowerBI).
5. Must be accurate and detail oriented and able to synthesize data points from multiple sources into reports.
6. Ability to collaborate effectively with co-workers, volunteers, board members, and the general public.
7. Excellent written and oral communication skills.
8. Excellent problem-solving skills.
9. Work well under pressure with a diverse task load with the ability to prioritize and meet deadlines.
10. Must demonstrate personal initiative and “how can I help” mentality.
11. Must demonstrate the Core Values of the SPCA of Texas on and off the job.
