Job Purpose:

Responsible for timely gift entry, acknowledgment, reconciling, and reporting, and maintaining the integrity of donor financial records.

Essential Job Duties and Responsibilities:

  • Prepare, organize and enter all gifts and pledges following Pomfret School’s gift acceptance policy, CASE, and IRS standards.
  • Verify donor intent is met regarding allocation, amount, and degree of anonymity, and that all gifts are documented completely and correctly.
  • Research and promptly respond to requests for information on all aspects of gift accounting, as directed.
  • Generate acknowledgment letters, pledge reminders, and statement of giving forms ensuring IRS guidelines are met.
  • Serve as the advancement office liaison to the School’s auditing firm and provide materials as requested.
  • Assist in ensuring that gift and pledge records are accurately filed and maintained in the electronic document management system.
  • Work closely with the business office to provide reports and documentation for financial reconciliation and accuracy between Financial Edge and Raiser's Edge on a weekly, monthly, and annual basis.
  • Produce daily gift reports, monthly dashboard reports and other reports as requested.
  • Assist in the maintenance of constituent biographical information, including address, phone, and employment records on individual donors as submitted by donors.
  • Responsible for compiling all donor lists and reports for the School’s annual report.
  • Complete advancement-related data for industry surveys as requested.
  • Continually strive to improve and enhance processes and systems.
  • Adhere to all School policies as outlined in the Employee Handbook.

  • Perform other duties as assigned.

  • Ability to deal effectively with alumni and donors, co-workers, and the general public

Qualifications:

  • College degree and/or two years experience in a related field required
  • Knowledge of relational databases, preferably Raiser’s Edge
  • Experience with Google Suite and Microsoft Office
  • High level of data entry proficiency
  • Strong analytical and organizational skills
  • Excellent oral and written communication skills
