Reviewing over cycle management

I had a handful of funds remain open over cycle management this year, with two having reviewer groups. I was just notified that the information from the general application has disappeared from their review portal.

I know when we purchased AcademicWorks, the application process was described to me as “taking a screenshot” of the general application upon submission to an opportunity, so the applicants could go back and revise their general application to emphasize different aspects of their background, academic goals, extracurriculars, when they applied for another opportunity.

So, when I had these remain open, I thought the responses would remain captured. In 7 years of cycle management, this is the first time this was brought to my attention. (I believe the other years, reviews were complete and the opportunities were simply left open to award.) Does this only happen during cycle management? Did the “screen capture” method change at some point? Anyone else experience this?

I'm having to manually go back and get their responses from the archived general application and share them via spreadsheet on a secure website now. Time consuming and tedious.
