Administrative Assistant

The Peddie School seeks an experienced executive assistant and team player for the position of Administrative Assistant in the Office of Alumni and Development. Reporting to the Director of Development, the successful candidate will support the Assistant Head for Development and the Alumni and Development team with specific attention to data systems including (but not limited to) updating data, optimizing and running reports, managing alumni paper/digital records and mail-house processes and providing the highest level of customer service at all times.

An essential member of the department, the administrative assistant will be immersed in all facets of the team's work. Duties include optimizing databases, providing excellent administrative support to a diverse team, managing student and alumni paper and digital records and providing first-class impressions and warmth both internally and toward the larger Peddie community.

Primary duties

  • Data Services Support (70%)
    • Support the development operations team and prospect management and research teams with data updates including biographical, contact information and volunteer roles.
    • Manage data updates for deceased constituents.
    • Work with Registrar to manage transition of paper and digital files and update records.
    • Work with Admissions to manage transition of information during and after admissions process to accurately update the database and communication with the team.
    • Work with College Counseling to manage transition of student school statements.
    • Assist with data cleanup projects as needed.
  • Administrative Assistant/Event and Donor Relations Support (30%)
    • Manage phones, minutes for team meetings, calendars as needed.
    • Provide reports and help with travel itineraries and arrangements for frontline fundraisers
    • Manage Head of School thank you letters with the director of donor relations and provide support with additional projects as needed.
    • Provide event support including registration, preparing nametags, and post-event reports.
    • Welcome and manage all guests to Coates-Coleman House, including student workers.

Qualifications

  • Bachelor’s degree
  • Five to seven years administrative experience
  • Extensive database experience and demonstrated project management experience
  • Demonstrated initiative to work independently and meet deadlines; savviness to work across diverse teams on multiple projects
  • Demonstrated understanding of and appreciation for culturally responsive professional practices including the ability to value, work with, respect and incorporate diverse perspectives
  • Outstanding interpersonal, writing and communications skills, characterized by ability to listen skillfully and act with strong customer-centered mindset
  • Ability to travel and attend evening and weekend functions as needed
  • Proficiency in Google Workspace (formerly G Suite), Zoom, Microsoft Excel, Microsoft Word required; experience with Raiser's Edge preferred
