How You’ll Contribute

The Advancement team identifies, cultivates, solicits, and stewards individuals, as well as foundation, government and corporate partners who invest in the Society to drive impact through science, technology, education, exploration, and storytelling. The team collaborates across the Society – and often works closely with NGP/Disney – to build transformative and impact-driven strategic partnerships. The team also produces global events that deepen connections and leverage the Society’s power to convene, and directs robust annual, major and planned giving programs empowering the Society with a broad base of public support.

Working within the dynamic and collaborative Advancement Operations team, and reporting to the Director, Advancement Data and Systems, the Gift Specialist is responsible for gift transactions, acknowledging and providing receipts to donors, working with internal and external gift processing partners, and assisting with gift data management. This position is also responsible for ensuring timely gift processing and utilizing the highest level of data standards and practices to support philanthropic revenue tracking.

Your Impact

Responsibilities Include

  • Ensure accurate and timely gift processing (50%)
    • Ensure accurate and timely gift processing which includes receiving, coding, and tracking gifts from mail, online giving, and incoming data files from caging vendor and third-party donation aggregators.
    • Review gift data files before import to ensure accuracy of information.
    • Process gifts in a timely basis and ensure all gift codes are accurately applied.
    • Manage the weekly caging vendor acknowledgement process.
    • Manage the pledge reminder process.
    • Work to resolve any reporting variances/discrepancies.
    • Adheres to best practices in gift processing, data management, and donor stewardship as well as NGS’ documented gift processing procedures.
  • Manage gift data import and maintenance in Raiser’s Edge (30%)
    • Mange gift data input into Raiser’s Edge.
    • Maintain standard operating procedures for gift data entry and maintenance.
    • Maintain ongoing gift data hygiene, maintenance, and ad-hoc clean-up projects and other necessary tasks to ensure integrity of the database.
    • Assist with gift data pulls, both scheduled and on-demand.
    • Assist with regular mass gift record updates.
    • Assist with research and recommend process efficiencies for ongoing gift data processing tasks.
    • Assist with communications with donors to address and resolve any payment questions (i.e., tax receipts/payment updates and declines).
  • Daily/weekly/monthly gift processing reports (15%)
    • Assist with the daily gift report.
    • Assist with weekly Acknowledgement Reports to internal Development team and others as required.
    • Provide necessary support for monthly financial reports.
    • Work closely with the gift processing team to manage and coordinate general accounting, monthly reconciliation of gifts, and annual audit requests.
  • Assist with special projects as directed (5%)

What You’ll Bring

Educational Background

Bachelor’s degree preferred

Minimum Years and Type of Experience

3+ years working with confidential data in a nonprofit or comparable organization

Necessary Knowledge and Skills

  • Strong PC skills, proficiency in Excel;
  • Proficiency with relational databases, preferably Raiser's Edge and eCRM Engaging Networks;
  • Demonstrated ability to exercise a high level of accuracy and attention to detail in completing routine work;
  • Ability to identify problems, develops solutions and take action to resolve issues in assigned areas of responsibility;
  • Ability to deal with diverse and confidential information with discretion and good judgement;
  • Motivated and dependable, ability to prioritize workload independently, manage time efficiently, consistently meet required deadlines.

Job Designation

Hybrid - This position has been designated Hybrid, meaning your position will be performed from NGS Base Camp three fixed days a week (Tuesday, Wednesday and Thursday) and can be performed remotely for two fixed days a week (Monday and Friday).
