Rockford University is accepting applications for the position of Philanthropy & Alumni Engagement Systems Coordinator. As a member of the Philanthropy & Alumni Engagement team, the Coordinator is an essential leader in maintaining all Philanthropy & Alumni Engagement systems, with a special focus on overseeing and administering the Raisers Edge fundraising database. Reporting to the Director of Alumni Engagement and Philanthropic Strategies, the Coordinator manages and updates alumni and donor records, creates and manages departmental reporting and list requests, oversees systems processes, manages bulk emails, fundraising pages, event registration pages, and more, in partnership with members of the Philanthropy & Alumni Engagement team.

RESPONSIBILITIES:

  • Leads, guides, and develops technology-related systems, projects, and services under the supervision of the Director of Alumni Engagement & Philanthropic Strategies
  • Directs and administers the Raisers Edge database of alumni, friends and donors, including:
    • Plans, develops, and maintains data integrity and accuracy, develops additional biographical information to maintain and update records
    • Analyzes and provides all necessary and/or required reports relative to all University philanthropy and alumni engagement activities and constituent data management
    • Coordinates requests for alumni/friend lists, labels, and other information for the University
    • Creates and enforces all database policies and procedures
    • Administers Blackbaud Online Express for online giving, event registrations, and bulk emails from information provided by team
    • Oversees student worker data entry and additional projects
    • Assistance with constituent research
  • Oversight and management of all additional systems used within the Philanthropy & Alumni Engagement department such as Double the Donation, GiveCampus, Crescendo, Parlance, Alumni Learning Consortium, and social media accounts including:
    • Creates and uploads phonathon calling data into Parlance system
    • Sets-up GiveCampus giving pages from content provided by team
    • Creates online webinar registration on the Alumni Learning Consortium from provided information
    • Manages bulk emails through Crescendo platform based on content provided by team
    • Posts created content to alumni social media pages
  • Coordinates and maintains Philanthropy & Alumni Engagement webpages through WordPress
  • Serves as primary contact for systems vendors and the University’s IT department
  • Works closely with Donor Relations Coordinator, serves as back-up gift processor
  • May staff evening and weekend events as needed
  • Additional duties as assigned

The successful candidate should meet the following requirements:

  • Bachelor’s degree or equivalent combination of education, training, and experience
  • Ability to work in a fast-paced environment and successfully manage competing deadlines
  • Ability to handle confidential, sensitive information with the highest degree of professionalism
  • Strong ability to read, synthesize and analyze large amounts of complex data containing confidential information
  • Must be well organized and possess attention to detail
  • Must have demonstrated the ability to use good judgment and critical thinking
  • Comfortable with technology, willingness to learn new software applications
  • Ability to establish and maintain working relationships with staff from diverse backgrounds and demonstrate sensitivity to cross-cultural perspectives and experiences
  • Strong focus on customer service and proactive problem resolution

Preferred Qualifications:

  • Familiarity with Raiser’s Edge, Access, or other relational database software.
  • Experience working in Microsoft 365
  • Experience in a higher education fundraising office
  • Budgeting Experience
