Advancement Data and Communications Manager

Archbishop Edward McCarthy High School located in Southwest Ranches, Florida to hire a qualified and experienced full-time Advancement Data and Communications Manager. This position is responsible for all aspects of database management and communication for advancement, alumni relations, summer programs, and parent relations as well as gift processing, donor acknowledgment, and gift reporting. This position requires strong organizational skills, attention to detail, creative thinking, and an ability to interact with staff, students, parents, and other agents of the school. SCHEDULE: 7:30 AM – 4:00 PM, 12 months.

PRIMARY FUNCTIONS

  • Develop, oversee, and maintain the advancement database (admissions, current parents, alumni, past parents, and summer programs) beginning with initial student and guardian information upon enrollment and continuing with ongoing management of alumni and past parent information, ensuring up-to-date accuracy
  • Manage the constituent database for the Maverick Fund (Parent and Alumni Annual Fund).
  • Working with the alumni and parent relations office, support the Class Agent Maverick Fund parent and alumni volunteer’s program. Provide ongoing support and direction for volunteers and communicate the status of the Maverick Annual Fund to volunteers and administrators on a timely basis.
  • Support in all Development programs including special events and provide direct support for the Parent Volunteer Program and the Alumni Association as they are formed and developed.
  • Process all aspects of gift donations.
  • Oversee the in-kind donation process.
  • Generate thank-you letters and tax-gift acknowledgments in a timely manner.
  • Assist in McCarthy Development and Strategic Planning by providing meaningful, strategic income reports for inclusion in proposals, printed communications, and on the McCarthy Website.
  • Prepare reports as requested by the Administration.
  • Assist with tracking results of targeted constituents and document progress on a monthly basis.
  • Assist with pledge reminders and stewardship of donors, and in external communications with donors.
  • Help to organize gift club cultivation/stewardship activities, including Maverick Society events, and all Development Events.
  • Work collaboratively with the Marketing and Communications on collateral materials and website needs as directed.
  • Assist by providing meaningful, strategic income reports for inclusion in proposals, printed communications, and on the Archbishop McCarthy Website.
  • Provide general administrative support to the Advancement Team as needed and appropriate.
  • Perform other duties as assigned by Administration.

QUALIFICATIONS

  • Proficiency in various computer applications including wording processing and database management using Microsoft Office (Word, Excel, Access, Outlook, PowerPoint), e-mail, and scheduling software.
  • An ability to assimilate and interpret significant amounts of information and to meet deadlines by paying meticulous attention to detail.
  • Previous experience working in an administrative capacity and/or previous experience working in a fundraising environment will be considered an asset.
  • Good written and verbal skills; accuracy in written work is critical.
  • Capable of prioritizing tasks and responsibilities, meeting tight timelines, and multi-tasking in a demanding, fast-paced, professional environment.
  • An ability to assimilate and interpret significant amounts of information and to meet deadlines by paying meticulous attention to detail.
  • Previous experience working in an administrative capacity and/or previous experience working in a fundraising environment will be considered an asset.
  • Good written and verbal skills; accuracy in written work is critical.
  • Capable of prioritizing tasks and responsibilities, meeting tight timelines, and multi-tasking in a demanding, fast-paced, professional environment.
  • Demonstrated success persuading and influencing groups and individuals to support the organization’s agenda with respect to colleagues, team members, volunteer leadership, and other potential stakeholders.
  • Proficiency in MS Outlook, Word, Excel and PowerPoint is required.
  • Good Computer Literacy, and knowledge of social media, are a plus.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree and/or appropriate combination of training/education and experience related to database management and external constituent Relations.
  • Strong knowledge of Raiser’s Edge or Donor Perfect data management platforms.
  • Demonstrated ability to prioritize tasks and responsibilities
  • Proven management and leadership capabilities
  • Experience working with senior-level administrators in a school environment
  • Willingness to support the school and its leadership

LANGUAGE SKILLS

  • Good oral and written English-language communication skills are a must, including a clear speaking voice.
  • Good Spanish-language spoken and written communications skills are strongly preferred: Haitian Creole is a plus.
