Study Abroad Scholarship Processing

Hello, everyone!

Was hoping to hear how other university's process study abroad scholarships, mostly from funds that can be utilized for both study abroad and general awarding.

We utilize our email offers to provide fund specific information which also includes processing details. Naturally, this can differ from out standard process vs. study abroad awards. I've thought about using ad-hoc emails, or potentially creating two opps. (one for general awarding and one for study abroad) but wanted to see if anyone else has a solution they are happy with.

@Jonathan Blevins I've run into the same issue with Engineering awards going to a different college. I tried something new this year that seems to be working. All the basic information is in the opportunities that stay on our campus. For these 4 instances, I created new portfolios with the other college's initials in the portfolio name so they were easily identified. (NOTE: last year I just tried cloning, but that didn't work. Very hard to track which award the student received.) Also, in the Fund Code field, I used the college's initials. It's not a real fund code, so is easy to determine. As these opportunities were awarded, I adjusted the dollar amounts on the resident opportunities.

By creating new Portfolios, it allowed me to edit the communication on the opportunity to customize the offer letter, as there were different instructions for the recipients to follow. I've added instructions to our procedures that these 4 opportunities are handled differently, so their communications can be edited individually each award year. So far, I've only had one question from a recipient who didn't quite understand the instructions, which is a far cry from almost all of them last year. We run two application cycles for our study abroad opportunities and set them up as unique opportunities. I just have to remind myself to double check which opportunity I am working in to ensure my dates and other information are tied to the correct one.

I would think it would be easiest to have two opportunities in your scenario to keep the information separate.
