Hiring: Foundation Donor Database Manager (Part-Time, With Growth Potential) - PA
Position Summary
The Foundation Donor Database Manager is responsible for the accuracy, integrity, and strategic use of Kappa Delta Rho Foundation's (KDRF) constituent and financial data systems. This role oversees the daily operations of Raiser’s Edge NXT to ensure seamless gift processing, data integrity, reporting, and donor stewardship across all advancement initiatives—including individual, corporate, and institutional giving, volunteer engagement, and special events.
The Manager develops fundraising reports and performance dashboards, makes strategic recommendations, establishes data entry policies, and ensures the database effectively captures constituent information and generates accurate financial reports. This role also leads training and cross-functional collaboration to ensure operational efficiency across KDRF staff and volunteer Trustees.
This part-time position is ideal for a detail-oriented, systems-savvy professional who enjoys building strong data practices and supporting a mission-driven advancement team. The role may expand as organizational needs, fundraising activity, and system complexity grow.
Salary Range: $25 – 29 / hr, depending upon experience
Key Responsibilities
Database Administration & Data Governance
- Oversees the accuracy, quality, and security of all donor and gift data in Raiser’s Edge NXT. Ensures consistent data entry, maintenance, and coding, and implements modifications to support accurate reporting and integration.
- Maintains data integrity through routine audits, duplicate resolution, NCOA updates, and quarterly data health reviews.
- Develops and maintains database policies, procedures, user guides, and best practices to support consistent use across KDRF staff.
Gift Processing & Financial Coordination
- Leads timely and accurate entry, processing, receipting, and acknowledgment of gifts. Coordinates with fundraising teams to ensure personalized donor communications and tax receipts.
- Processes all gift types (check, online, credit card, stock, and in-kind) with accurate assignment to funds, campaigns, and appeals. Supports monthly reconciliation and provides audit documentation.
- Generates donor tax receipts, year-end tax statements, pledge reminders, and acknowledgment letters in a timely and accurate manner. Applies notes at the account level, recording other various communication efforts with membership.
Reporting, Analytics & Strategic Insights
- Creates and initiates the development of custom reports, queries, and performance metrics. Analyzes donor trends, retention, and giving patterns to recommend fundraising strategies and organizational goals.
- Builds and maintains queries, exports, dashboards, and custom reports to support fundraising strategy, prospect research, and leadership decision-making. Provides weekly, monthly, and annual reporting to Foundation leadership and board committees.
- Maintains prospect management systems, including tracking, benchmarking, and qualification of major gift prospects. Creates prospect profiles to support fundraising staff and volunteer Trustees with data-driven insights.
System Improvements & Change Management
- Leads change management for fundraising opportunities, system upgrades, workflow improvements, and database structure enhancements. Creates solutions and process improvements in collaboration with IT.
- Serves as the technical liaison to Blackbaud and related vendors to resolve issues and evaluate new tools or integrations.
- Maintains thorough documentation to support audits and continuous process improvements.
Cross-Functional Collaboration & Training
- Fulfills data-related inquiries and develops user guides and best practices.
- Collaborates with marketing, fundraising, events, and finance teams to provide accurate data and insights for prospect research, budgeting, compliance, donor engagement, and campaign planning.
- Trains KDRF staff on Raiser’s Edge NXT functionality, data standards, and reporting tools. Supports marketing, events, and stewardship teams with accurate data for campaigns, communications, and event registration.
- Generates mailing lists, donor segments, and event-related data for invitations, sponsorships, and attendee tracking. Provides on-site support for Foundation events and board meetings as needed.
Qualifications
Education:
- An associate’s degree is required.
Experience:
- Minimum 2–3 years of hands-on experience with Raiser’s Edge NXT; experience with Financial Edge strongly preferred.
- Three (3) years of progressively responsible work experience in database management.
- Experience with Blackbaud Merchant Services, Blackbaud Portal or Online Express is a plus.
Knowledge, Skills & Abilities:
- Ability to work independently and collaboratively with a team that prioritizes culture, mission, and professional development.
- Knowledge of fundraising principles and techniques, and a desire to grow knowledge and experience in a health care setting.
- Ability to collaborate and serve as the subject-matter expert for volunteer Trustees.
- Proficiency in managing donor and constituent databases. Proficiency in database administration, prospect and constituent management, data imports and exports, and development of reports.
- Excellent interpersonal skills. Must be able to relate well to and build positive, productive relationships.
- Detail-oriented with strong organizational skills and exceptional accuracy and consistency.
- Strong time management skills with the ability to prioritize work, be proactive, take initiative, resolve problems, follow through, and simultaneously manage multiple projects to ensure goals are met in a timely manner.
- Advanced knowledge of Microsoft Word and Excel, including the use of document merges and data analysis tools.
- Ability to learn new database management procedures. Commitment to confidentiality, data integrity, and ethical standards.
- Strong communication skills with the ability to translate technical concepts for non-technical staff, donors, and external partners.

Work Schedule
- Part-time (up to 25 hours/week)
