Position Overview (Hybrid 3 days in office):

The Donor Database Associate plays a vital role in supporting donor management, data entry, and gift processing at ORT World. This position ensures the accurate and timely production of receipts, pledge reminders, and gift renewal letters, while also serving as the primary lead for report and query development in the Raiser’s Edge NXT donor database.

Key Responsibilities

Database & Gift Management

  • Serve as the in-house expert for Raiser’s Edge NXT, maintaining the accuracy, integrity, and confidentiality of donor and gift data.
  • Process pledges and gifts daily, including batch creation, posting to Financial Edge, and generating acknowledgments and receipts.
  • Create and update constituent records, including relationships, notes, attributes, and demographic information.
  • Identify and resolve duplicate records; make adjustments to gifts as necessary.
  • Review supporting documentation for gift batches, apply correct program coding, and coordinate with the Accounting Department for financial review and approvals.
  • Upload relevant documents to donor records.
  • Conduct regular data hygiene audits (deduplication, address updates, and clean-up).
  • Build and manage queries, reports, and exports to support campaigns, mailings, events, and analytics.
  • Oversee acknowledgment processes, including mail merges, tribute cards, non-automated letters, and inquiry responses.
  • Assist with tracking donor engagement, campaign performance, and fundraising metrics.
  • Provide staff training on Raiser’s Edge NXT functionality and best practices.
  • Document data processes and contribute to a centralized knowledge base of database procedures.
  • Partner with the Finance team to ensure accurate monthly revenue reconciliation.

Development Operations & Support

  • Manage the moves-management system, including weekly pipeline updates and prospect assignments.
  • Support direct mail and email campaigns by generating accurate mailing lists and donor segmentation.
  • Produce donor correspondence, including acknowledgment letters, receipts, invoices, renewal notices, and pledge reminders.
  • Collaborate across teams to create donor-facing materials such as impact reports, gift agreements, newsletters, appeals, and other print/digital communications.
  • Conduct prospect research to identify and qualify major gift opportunities, assessing capacity and philanthropic interests.
  • Leverage internal and external data sources and research tools to prioritize prospects.
  • Support fundraising events through RSVP management, guest list coordination, and post-event follow-up.
  • Regularly update and refine donor acknowledgment communications.

Qualifications

Required:

  • 3–5 years of experience in nonprofit development operations, database management, or related field.
  • Proficiency with fundraising databases (Raiser’s Edge preferred, NXT strongly desired) for data entry, queries, and reporting.
  • Strong attention to detail, organizational skills, and analytical ability.
  • Ability to manage multiple priorities and deadlines independently.
  • Strong interpersonal and collaboration skills.
  • Proficiency in Microsoft Excel, Word, and Outlook.

Preferred:

  • Experience in donor segmentation, prospect research, or gift processing workflows.
  • Familiarity with email marketing platforms (e.g., Mailchimp, Constant Contact) and event registration systems.
  • Commitment to ORT World’s mission and interest in nonprofit fundraising.

Pay Range - $65-$70K Annual
