Advancement Services Manager - The Augustinian Province of St. Thomas of Villanova, Villanova PA

Position Overview: The Advancement Services Manager is responsible for the strategic management, integrity, and optimization of the organization's fundraising and constituent database. This role oversees gift processing, donor records management, reporting, and data analytics. The manager serves as the primary administrator for Blackbaud Raiser's Edge NXT (also utilizes database view) and ensures accurate, timely, and secure data management to support fundraising, stewardship, and institutional advancement initiatives. The Advancement Services Manager collaborates closely with the advancement and finance offices, maintains database best practices, and improves fundraising effectiveness.

Salary: $58,000 annually. This is a full-time, hybrid position (3 days in office) with benefits.

Essential Duties and Responsibilities:

Database Administration

  • Serve as the primary administrator for Blackbaud Raiser's Edge NXT and database view.
  • Develop and enforce data standards, policies, procedures, and documentation.
  • Monitor database health and perform routine audits, clean-up projects, and quality control reviews.

Gift Processing and Financial Reconciliation

  • Oversee the accurate and timely entry of gifts, pledges, recurring donations, matching gifts, grants, and in-kind contributions.
  • Ensure proper gift coding and adherence to organizational policies.
  • Reconcile fundraising records with finance department.
  • Support annual audits and provide required documentation.

Reporting and Analytics

  • Create and maintain standard and custom reports, dashboards, and fundraising metrics.
  • Generate donor lists, campaign reports, pipeline analyses, and other reports/gift lists.
  • Analyze fundraising performance and donor trends to support strategic decision-making.

Advancement Operations

  • Support annual giving, major gifts, planned giving, grants, stewardship, and campaign initiatives.
  • Develop and manage constituent data imports, exports, and integrations with other systems.
  • Coordinate data needs for fundraising appeals, events, and donor communications.
  • Other duties as assigned.

Training and Support

  • Train advancement staff on database procedures and reporting tools.
  • Provide technical assistance and troubleshooting support.
  • Create user guides and standard operating procedures.
  • Promote best practices in data management and gift administration.

Accounts Payable

  • Process all vendor invoices.
  • Process Director of Advancement’s credit card expenses.

Qualifications:

  • Bachelor's degree in Business Administration, Information Systems, Accounting or related field.
  • 3–5+ years of experience in advancement services, development operations, fundraising administration, or database management.
  • Experience with Blackbaud Raiser's Edge NXT.
  • Strong understanding of fundraising operations and donor lifecycle management.
  • Experience with report writing, data analysis, and CRM administration.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong attention to detail and commitment to data accuracy.

Knowledge, Skills, and Abilities:

  • Expertise in donor database management and constituent relationship management (CRM) systems.
  • Proficiency in data imports, exports, queries, and reporting.
  • Excellent project management and multitasking abilities.
  • Commitment to confidentiality and ethical handling of donor information.
