RENXT/JG Integration: What’s New and What you Might Need to Do

This week, on November 10, 2020, we announced several new improvements to the integration that sends data from Blackbaud Peer-to-Peer Fundraising™, powered by JustGiving™ to Raiser’s Edge NXT. *Happy Dance for better data integration. * Let’s take a moment to talk about what is new and steps your organization might need to take to continue to manage your JustGiving data.

What’s New:
From Control panel> Settings> JustGiving integration, you can set default values for Package, Receipt status, Acknowledgement status, Acknowledgement letter, and Gift subtype. Previously, you could only set defaults for Campaign, Fund, and Appeal. Also, to help you quickly find fields, the default settings are now organized into tabs.

What to Do:
  1. What is your current policy for the Acknowledgement Status? Will donations from JustGiving be acknowledged with other types of donations? If so, which Acknowledgement Status will you choose for donations in JustGiving? Keep in mind that JustGiving typically emails donors a thank you email with donation details. Do you considered this acknowledge or not? More importantly, does this donor also need an acknowledgement letter from your organization? Hint and a wink: You might want to update your policies and procedures for this one.
  2. Acknowledgement Letters: Will JustGiving donors receive your standard acknowledgement letter? Do you need to add or change the acknowledgment letters in the database? I recommend the letter be slightly different than the standard annual fund donor. Afterall, their journey to becoming a donor is slightly different. The acknowledgement letter should acknowledge the gift came from JustGiving and that the individual most likely gave to a family member or a friend.
  3. Ah, Gift Subtype. The reporting tool you might not be using, but perhaps you should be? Gift subtype is a place for you to further define the gift. Here are a few circumstances in which gift subtype might be helpful:
    •  Use gift subtype to define the GL distribution.
    • Three years from now, our organization has many JustGiving efforts, all with unique campaigns, funds, appeals and we want to know how much was raised on JustGiving in total.
    • All funds raised on JustGiving while they might have their own Raiser’s Edge fund, they will all eventually be part of the Giving Day gift subtype. In short, gift subtype is another way to slice and dice your reporting pie. If you have many JustGiving Campaigns running, this could be a helpful reporting tool.

What’s New:
From Edit> Settings overrides, you can now set a default for Package when gifts are donated to specific campaigns.
What to Do:
  1. Find out if your organization uses Packages and set the values accordingly. Do you need to create new table values for Package as it relates to JustGiving fundraising efforts? Read more about Package here.

What’s New:
When donors give anonymously, the integration now attempts to identify matching constituent records in Raiser's Edge NXT with whatever information donors provide (such as their email address). If a match is found, the gift is applied to the constituent. Otherwise, the gift is applied to an anonymous constituent record.
What to Do:
  1. Happy Dance #2. Anytime improvements are made to constituent matching, this will mean fewer duplicate records. Fewer duplicates=less data clean up, always. But let’s get real about duplicates for a moment: duplicates constituent records are a fact of life because humans are messy and they are even messier with their data, so see #2.
  2. Consider running the Duplicate Management (web view) and the Duplicate Constituent Management (database view) tools on a regular basis. I suggest before launching any JustGiving Campaign and after a JustGiving Campaign closes. Because of the matching logic in web view, I suggest running the Duplicate Management tool (web view) first, then the Duplicate Constituent Management tool (database view) second. Each tool will search for and manage duplicates in different way. Using these tools in tandem will be the best way to catch potential duplicates.  While you are at it, don’t forget to update your policies and procedures with how often, when, why and how to your organization uses the Duplicate Management tool. Also how will you handle Possible Duplicates?
  3. Familiarize yourself with the Duplicate Detection Process in RENXT. The more data you have in each constituent record, the more likely the system is to identify potential duplicates. As people interact with nonprofits more online, there is a move toward email address(es) becoming the unique identifier for constituents. If you wish to reduce duplicate records, make a concerted effort to collect email addresses. You can start with a Constituent Query that reads “email address is blank.”

What’s New:
If a donor selects to cover the platform fees in JustGiving, the donation amount in Raiser's Edge NXT now includes both the original amount plus the fee.
What to Do:
  1. The total gift amount now matches the total amount in your BBMS report. Check with your finance team on your reconciliation process. Does this still work with JustGiving donations or are there changes that will need to be made? Document your decisions and workflow in your policies and procedures.
  2. Update Receipts or Acknowledgment Letters in Raiser’s Edge that acknowledges the donation that is consistent with your policies. Keep in mind, JustGiving receipts cover the full transaction amount but you can update your Acknowledgements if you prefer to thank them for the full transaction, entire gift amount, or provide a detailed breakdown.
So, what do you think? Let us know your feedback on this post and in Blackbaud Communities.
