Declining two-stage requests in Blackbaud Grantmaking

Does anyone else use two-stage application forms?

We have used them extensively and we have a large number of requests where the stage two form has been generated but not submitted (nor will it be, as the applicant has decided not to proceed).

In BBGM you cannot decline a request that has a stage two form generated but not submitted so it's leaving us with a large number of pending requests which I cannot decline.

There are already ideas raised to fix this but they don't appear to have progressed.

This functionality is vital for us to be able to administer two-stage application processes. Please can Blackbaud provide an update on when we can expect this functionality?

  • @David Slavin we've encountered similar issues. Not sure if you've already taken these steps, but Blackbaud has to remove access to the Step 2 application and then decline the proposal on the back-end. All I've needed to do is open a case, provide the request ID, and then pull the Application ID/ Record ID/ Form IDs from the Applications History Report. This can be pulled by clicking the Applications tab, then the drop-down for “History.”

    So far, the Blackbaud team has been responsive to these requests - but you're right, being able to do this on the admin end would be preferable!

    I ran into the same issue with one of ours last year. I had to reach out to tech support to pull Stage 2 back into the system in order for me to decline it. Not sure if that helps, but hopefully they’ll figure out a solution.

  • Hi @David Slavin - Buzzacott are able to decline them on the server for UK customers, so pop them over a list of requests and i'm sure they will clear them for you

    I believe they can decline them, but we still have to go back in afterwards and set the status (and possible the declination code) but at least that will clear them from your pending.

  • @David Slavin A messy alternative would be to use a Request status to indicate it is Declined. This is messy because

    • you'll need saved searches to take this status into account.
    • you'll not be able to use the Declination Reason code or Declination Notes as the request will not truly be Declined.

    It would definitely be better to have the option to decline the Requests yourself, so I hope BB will make this functionality available.
