Sharing my Power Automate Flow: View upcoming VolunteerHub registrations and add as actions to RENXT

Description: Use this flow to view upcoming Volunteers registered in VolunteerHub in a SharePoint list and add an action to the constituent record from the SharePoint list.

Required connections:

• Blackbaud Raiser's Edge NXT Constituents
• SharePoint
• VolunteerHub

Background:

• Three flows are included in the solution:
  • VolunteerHub + RENXT integration:
    • Scheduled flow
    • Adds registrations from VolunteerHub to the SharePoint list.
      • When run on Friday adds registrations for the next full week.
      • When run on any other weekday, adds registrations between the current day and the next Friday.
    • Once a week (on Friday), deletes registrations from the SharePoint list for the past week.
    • Sends a summary email of all registrations added or deleted.
  • VolunteerHub Deleted Registrations:
    • Scheduled flow
    • Marks a registration as deleted in the SharePoint list.
    • Sends an email to a Fundraiser if an action was added from the SharePoint list to notify the fundraiser the registration was deleted and the next event the Volunteer is registered for.
  • Add Action to RENXT:
    • Triggered from the SharePoint list
    • Adds an action to RENXT assigned to the user/fundraiser who triggered the flow from the SP list.

Assumptions:

• VolunteerHub UserID is stored on Raiser's Edge record as an Alias
• The main refresh of the SharePoint list only occurs once a week on Friday. Incremental refreshes occur on a daily basis for remaining days until the next Friday.
  • The timing can be modified if a different cadence is needed.
• The Deleted Registrations flow should be scheduled to run before the main VolunteerHub + RENXT flow.
