Duplicate Match Fields

My organization uses BBGM for applications that are grants to individuals and many times we see returning applicants every few years to our system. They are often not logging into the system to apply to a new grant, but rather starting a new application and establishing a New Organization Record in BBGM due to this.

Our system is currently setup to identify duplicates and merge those records of Organization Record and prior Applications off of the fields: Last Name and City, State, Zip of residence and we are finding that MANY duplicates are not being found through the automatic system.

What are folks using as their "data points" or “identifiers” that works well for them in finding duplicates? TIA!

  • @Shanee Helfer We also have a program that provides funding to individuals that we will be moving into BBGM in the New Year. We currently collect first and last name and birthdate. We do collect address information but find these grantees tend to move, and people may also apply using a nickname, so we find DOB and last name more reliable match points. Depending on your situation, student ID or health care number could also work?
