Can report be run to show custom fields?

We have been utilizing custom fields in AP in an effort to make reporting easier. How/where can we build reports to include the data in those fields as part of the output?

    @Lisa Olscamp, what types are the custom fields you're wanting to see in reporting (transaction, project, account, etc.)? Also what type of reporting (AP transactions, GL, etc.)?

  • @Nikki Baldwin The custom fields were used when entering AP invoices. Ideally it would be in both AP transactions or GL detail.

    @Lisa Olscamp, most of the time, we are able to filter on custom fields we want in a report, rather than seeing them defined/written out on the report. Whether it is a field that can be filtered by on AP reports AND GL reports would depend on the type of custom field in question. If it's a transaction custom field, that would cross ledgers but if it's an invoice/credit memo custom field, we'd only be able to filter on them in AP reports.

  • @Nikki Baldwin We are using them to identify the types of vaccines purchased when the invoices are coded. We would need to have a report show the various custom fields used. They are all posted to the same account code. If need be we could use the GL detail to determine which vendors are involved then use a report from AP if it would show the actual vaccine names entered into that field.

    @Lisa Olscamp to get the custom fields to show their values and not just be a filter on a report, you're going to have to use a query. You haven't verified the type of custom field this is, but if it's an invoice/credit memo custom field then you would create an Invoice Query. You can use the Criteria tab to filter on whatever dates/vendors etc. that you want to limit the results to. Then under the Available Fields, on the Output tab, you'd see an option to expand ‘Invoice Custom Fields’ and expand on the custom field in question and select what you'd want to see (typically the description, not the comments). If you select that on the Output tab, you don't have to filter to what values you want to see so it can show you all of them. Alternatively, you can put this on the Criteria tab and have it ‘<Ask>’ so that it includes them all or each time you run it, you can edit the value – you can include all values. If it's not an invoice/credit memo custom field, you may have to run a GL transaction query for a transaction custom field.
