Gift Processing

Manage matching gifts throughout the gift lifecycle

You can now manage matching gifts in web view throughout the gift lifecycle, from setting up an organization's matching gift plan to creating and processing matching gift pledges. You can:

Set up matching gift information on organization constituent records.
View active matching gift plans and related details on constituent relationships.
Review potential matching gifts and create matching gift pledges from gift records.
Use the new Matching gifts column during batch entry to review potential matches, link matching gifts, and edit or remove linked matching gifts.

Adjust existing gifts in web view

You can now modify existing gifts and record adjustments directly in web view. From a gift record, select the Adjustments tile to manage adjustments and update gift amounts and related fields in a single, streamlined experience.

The enhanced gift adjustment workflow lets you:

Create new adjustments on editable gifts.
Edit existing unposted adjustments.
Maintain complete audit history for all changes.

This capability applies to posted gifts and supports adjustments for standard, pledge, and sold stock gifts. The original gift remains unchanged while the adjustment records the update.

Have been waiting for the ability to adjust a gift. So decided to try. Want to see what amount pulls in total giving history. Didn't get that far.

Unable to continue as got this error. Is there a place I'm missing to change the receipt amount? If I enter a lower amount than original gift I get the error. If I enter a larger amount I do not get the error but the receipt amount does not change.

Was also unable to check the use adjustment post date box - thinking this could be due to date, used a gift from earlier FY.

There still may be some glitches to fix. Anxious to have this function to make some fund adjustments on DAF gifts for accurate reporting. :)

Web view does have a restriction that database view doesn't when it comes to receipt amounts. Web view does not allow receipt amounts greater than the gift amount. That said, we should still have a process that works for you and I have some questions that I can ping you offline about, so we aren't running the entire support process off this post.

I replied to your email with more details. If gift amount is incorrect and changed thru an adjustment the receipt amount should also adjust.

Red flag on webview not allowing for receipt amount to be more than gift amount. We have many situations with gifts of securities where the receipt amount is legitimately more than the gift amount recorded. eg.

Donor gives stocks worth $1000 on the transfer in date, so the receipt amount is $1000

We sell the stock but on the day it is sold, it is only worth $950. We have to record the gift amount as $950 to match the money that we received in our bank account for the stock.

Patty, the Gift Amount/Value of a stock gift is supposed to be the donated value, not the sold value. Stock gifts in RE have the Sell Stock function to record the actual amount the gift is sold for and even the ability to record the broker fees and other details about the sale.

If you have jury-rigged the database view to do what you state, obviously that's you call, but FWIW, which may not be much LOL, I agree with Blackbaud's decision not to allow Receipt Amount to be more than Gift Amount. That's a reasonable and safer approach to help users avoid making serious receipting mistakes.

It is definitely the standard in fundraising that donors are recognized for the value of their stock donations based on its donation value, not sale value. For RE to do that corectly the donation value must be in the Gift Amount/value field.

If Finance has "dictated" that the method you mention is what you "have" to do, let us know how we can support you in telling them to stop telling you how to do RE data entry and to let you use RE as designed. :) Finance should be booking the donation value, not the sale value, and then recording a separate transaction for the stock gain or loss. They should be reconciling their finance system for a stock gift based on donation value not sale value. If they don't want to do that, then (1) they should talk to their auditors because technically they're not doing it correctly and either get corrected or the auditor's blessing and (2) the desire to take the easy way out for the accounting work isn't cause to jury rig RE. I have had clients take this easy way out in the financial data entry, but we don't jury rig RE — actually use it incorrectly and mess up fundraising reporting — to accommodate it. Just post and reconcile stock gifts manually.

Another point is that in advancement services, stock gift tax receipts/acks shouldn't be mentioning the dollar amount because technically it's a gift in kind and it should be receiped in the format of "thank you for your gift of X shares of company A which we received on [date]," and no total dollar amount, donation value or sell value, should be mentioned. So if you really, really want to keep putting the sold amount in the Gift Amount/Value field of a stock gift, you can, just lower the Receipt Amount value to that value when necessary since the Receipt Amount shouldn't show up anywhere meaningful anyway. But that's not the approach I'd recommend per the discussion above FWIW.

Having matching gifts in web view should make life considerably easier for fundraising teams. The new batch entry column looks particularly handy for spotting potential matches. I also like the adjustment workflow. Keeping the original gift intact while preserving the audit trail is a nice touch. Less screen hopping is rarely a bad thing.

Thanks @Bill Connors Looks like I will have some work to do to change our previously mandated processes. It sounds too like you have a different way of recording and receipting gifts of stock in the US compared to us in Canada ('no total dollar amount, donation value or sell value, should be mentioned'). That is not the case with the CRA where all gifts are required to show the fair market value of the property donated (the transfer in value) The sold value though should not be shown on the receipt.

Ah, my apoligies, Patty, I didn't recall you were in Canada. Just out of curiosity, how does the CRA tell you to value the stocks when you report it to the donor?

Hi @Bill Connors - not a problem. I didn't realize the CRA and IRS were so different in this aspect. The CRA guidance tells us that we would issue an official donation receipt for the fair market value of the stocks on the date it was donated (the transfer in date when the charity takes ownership of the stocks). Generally, they indicate that FMV is the closing bid price of the share, but for more volatile stocks they will also accept the midpoint between high and low trading prices for the day (we rely on our broker's calculation for these).

Interesting, thanks. The IRS tells donors to deduct the average of the higih and low on the date donated, but that that calculation is the responsibility of the donor and orgs here should receipt it as I noted above. Thanks for chatting on this!
