Naming Convention for Online Express Emails as Appeals

Hi folks,

I would love to know what you are using for a naming convention for email appeals coming out of OLX. When I do the "add this data to RE" it gives the appeal some crazy numerical name, and I'd like to get in the habit of overwriting them with something a bit easier for reporting. 


On a related note, does anyone know how to make it update the No. solicited on the appeal? I suppose I can just go manually add it, but I know I won't always remember that.

Hi Aldera Chisholm‍ - See below for the steps I follow to update an Appeal after its been added to RE by OLX.  This is probably more information than you need, but I figured I would share my entire process.  Let me know if you have any questions. 

1. Open the Appeal Record, copy the OLX ID in the Appeal ID field and past it into the Notes area. 
   • The OLX ID is important to keep.  You will need it if you ever want to re-download the information at a later time to update the responses recorded in RE.  To do this switch out your updated Appeal ID with the OLX ID, and then process the data from OLX. 
2. Edit the Appeal ID in the following naming convention: 
   • EMAIL[Year][Type]_[Additional Information][Segment Number]
   • EMAIL20NEWS_APR1 = April e-Newsletter, Segment 1: Recurring Donors & DNS
3. Edit the Description to only include the Subject Line.  If needed include the segment number to make the Description unique. 
4. Add the date the email was sent to the Start Date field. 
5. Choose the correct Category based on the content of the email sent.  For example, a newsletter is "Email: Information" in our system. 
6. Manually add in the number of emails the communication went out to in the No. Solicited field. 
7. Under the OLX ID listed in Notes, include the criteria for the email. 
8. Mark Appeal as Inactive and Save and Close the record.
