BBMS with JustGiving JG

Does anyone have any helpful links to understand how using RENXT -with BBMS (Blackbaud Merchant Services) to process our giving through JustGiving works? We were wanting to confirm before setting up a Campaign, etc - and I was told in support this:The gifts from JG will appear in RE automatically as soon as the integration is ready :)

and our team thought it would work more like Luminate gifts with processing them into NXT. So we were hoping to find some direction on this before we set up our page! Thank you - I'm completely new to ALL of this so forgive my terminology if I've messed up! :) Thanks!

  • Following. We just got the set-up email for JustGiving yesterday so am curious how this works, as well. These are a couple links I received today that I'll be checking out today/tomorrow - not sure how helpful they are but wanted to pass along. Interested in learning more about JG, as well - thanks for asking the question!!

  • We are also in testing phase and realized that the authorization codes are not being brought over from BBMS. Have others encountered this?  Seems like it's going to require manual work on our end to bring those in for our Finance team.

Thank you all for your help so far! Shelby - I will let you know if we experience this once we complete our set up and start using this! However, I guess we also don't get authorization codes with our current webpage online donations.

and Rachel - you were very helpful! I think this answered alot of our questions and we hope to implement it soon!

  • Subscribed! This thread has already helped me a lot - thank you! We created our landing page a few days ago and are trying to iron out a few kinks...

Has anyone else found that their thermometer and totals don't update when someone makes a gift? It updated when two staff members made gifts this morning and hasn't updated since. The gifts are showing in Raiser's Edge and BBMS. When we asked support, they said it can take up to 24 hours for the thermometer to update, which seems a bit odd!

Has anyone else found that their thermometer and totals don't update when someone makes a gift?

We started a new campaign today, and our first gift has not shown up on the thermometer yet.

We have switched our donation forms from OLX to NXT so all gifts show up in NXT batches. I noticed on the one this morning that "JustGiving"  and a string of numbers are in the reference field, so that helps distinguish between JG and regular donations.

My chief complaint is that I don't get an email notification when donations are made through JustGiving. The only way I know is to constantly check gifts in NXT. Has anyone figured out how to get notified?
  • Has anyone else had a "glitch" where the JustGiving integrator is not available in the settings of RENXT?  It isn't there to enable.  Yes, a ticket was created by BB to figure out what happened and to fix it, but no luck so far.  Just wondering if anyone else has had this problem.  Thanks!
  • Patti, I'm finding the lack of an email notification frustrating too - I'd love to know if anyone has a solution. About the thermometer not updating, my co-worker just heard from Blackbaud customer support saying it's a known issue that their developers are investigating. I'm glad there's not something wrong with our campaign, but I hope it gets fixed soon...

Dottie, our JustGiving integration button in NXT settings took a while to appear too. Our campaign went live on Monday and the button didn't appear in NXT until Wednesday morning.
  • Sally - thanks for the information - that is good to know.  Unfortunately for us, our campaign went live on 4/15/20, but there's still no JustGiving Integration in NXT.
  • Good response Rachel Gudeman‍! I have a question for you! We have just received our first gifts from P2P/JustGiving in RE NXT and like you mention only the donation comes through and not where the donor is covering the fees. How are you entering the difference?

    Thanks!

  • We have really started to use JustGiving and love that it integrates with RENXT.  While it does create duplicate records, so do the donation forms in NXT if certain information does not match.  We have just gotten really good at using the duplicate tool in NXT to look for them and merge records.

My biggest frustration is that the entire donation amount (donation + processing fees) does not come over into the batch.  It is also not easy to find in JustGiving until the payment processes.  We typically process the batch the next day and unfortunately the information is not yet showing in the JustGiving donation reports.  I don't have access to the BBMS reports but may have to see if I can get access from our accounting department.  When I can finally find the information, we change the donation amount to equal the total amount in BBMS.  While the donor is covering the processing fees, we still look at that amount as a donation (we don't deduct processing fees from donations).

It is becoming cumbersome to process these gifts.  I really like the features in JustGiving, but it is making reconciling and gift entry more time consuming because we have to look up each and every gift prior to committing the batch.  Kind of defeats the purpose of the integration.
  • Such helpful feedback! If you click on the Ideas Tab and search for integration or RENXT- you can add ideas or vote on existing ones. We are actively reviewing the address situation and the 5% fees so hearing your thoughts on the Idea Bank is really helpful too!
  • Hi Chris - thanks for the opportunity to give feedback. We do count the fees toward the total of a donor’s gift. Here is what I’m looking at for my reconciliation right now:

Donor gave a $250 gift and covered the fees, bringing her donation to $262.50. The gift imported to RE NXT as $250 and her corresponding record on the BBMS report shows a gross gift of $262.50 with $-19.58 in fees for a net of $242.92. Now, not only is her gift incorrect in RE but the reconciliation is incredibly convoluted.

Fortunately, the imported gift reference in RE NXT shows the JustGiving gift ID so I can do a vlookup to update the gift amounts in a spreadsheet and then do an import in RE to update the gift record. This is a pretty complicated & timely process though, and one that I would not consider to be sustainable (or even possible if an organization does not have a team member proficient in excel).

I believe this to be a critical issue. If asked by other organizations, I would honestly not recommend transitioning to JustGiving until this is resolved.
  • Samantha Wright‍  In looking at your numbers, it look like when the donor chooses to Cover, the cover charge goes through BBMS.

This means you process the gift and cover through BBMS.

    BBMS Charged fees on both.

Then the Cover charge, and the BBMS fees are withheld.

BBMS would do this because they are charged for the Donor Cover fee.

    Gift:  250.00

    Cover:  12.50

    Donated:  262.50

    BBMS Fees withheld are:

    Cover fee:               12.50

    Interest on 262.50:   6.82

    Per gift charge:         0.26

    BBMS withheld fees:   $19.58

So, you pay the cover fee either from JG, or through BBMS.

This was very helpful.  Thanks for sharing.
  • Chris Ager‍, thanks for reaching out to the community here. Like Samantha illustrated (and you said), reconciliation is the biggest problem. The recorded gift matches neither the gross amount of the gift nor the net amount received as reported in BBMS.

Bookkeeping aside, I'm also curious why the optional coverage of fees is not tax deductible at all. Is it because:
    1. The fees covered have a fair market value (equal to the fees themselves)? If so, the donor receives no benefit, the non-profit does. So I would think the donor would get to claim the full amount.
    2. Or was this exclusion the decision of a tax attorney? If so, are tax laws related to the coverage of fees the same in the United States as they are in the UK? Has this been researched?
    3. Or was this exclusion a decision made within the company itself, and could change?
Again, thanks for reaching out here, Chris.

Hi Tom Wombacher‍ - the UK is different to the US in terms of how, and who, can claim tax relief however, within Blackbaud the donor fee was initially determined to be non-tax deductible and this issue was not picked up during our customer testing phases.
  • Hello, I'm wondering how people are determining which JG donors have paid the bank fees, and how do you record in RE (donor's gift to match the tax reciept or including the fees paid)?  If we use the JG reports to import into RE, there isn't an indication of whether or not the donor paid the bank fees. BBMS of course shows the full amount charged. Do most people compare JG with BBMS to determine whether donors paid the bank fees, or is there an easier way to do so? BBMS appears to show the total fees paid regardless of whether paid by the donor or not. I'm noticing that this is causing issues for reconciliation, as mentioned in other postss in this topic. Thank you!
  • Hi Donella Robb‍ - let me connect with you outside of this post on that.  There are a few fields you should have available to indicate whether the donor cover was opted in (it sounds like you are missing those fields).
  • Once you have made sure that all JG is listed on the BBMS (Sometimes there may be a day's lag), you can do the following:
    1. Subtract the donated amount from the total or boost amount on the JG report.  This gives you the JG Fees which you will carry over to the BBMS report.
    2. To reconcile
      1. On the BBMS report
        1. Take the net amount from BBMS
        2. Add the fee amount from BBMS
        3. Subtract the fee amount from JG
        4. This gives you the donated amount
    I hope this helps.

  • Pennie Roueche‍ Take a look at this KB article for reconciling with BBMS reports. Maybe that will help? https://kb.blackbaud.com/articles/Knowledge/193020
