Parents who are Staff/Educators and LMS access and records access

I was hoping to pick everyone's brains regarding this topic. Do any of you have policies regarding employees who are also parents of students at the same school regarding access rights to the school's LMS, grade books and such? I have been looking for any actual policy from the Dept of Ed and have been unsuccessful.

  • Well, on the common sense side of things, those folks need access in order to do their jobs.  I have been at schools the last 20 years where anyone from the Principal, the Director of Middle School, who have access to everything on down to staff and faculty who have access to whatever they need to do their jobs have access to a lot of areas.  The only thing that everyone is locked out of I believe is anything related to HR.


    It has always been a given that they are responsible for handling confidential and/or sensitive information and to treat it as such.  Password protected, you don't snoop just because you have access, you don't talk/gossip about things you may see.


    If you have a concern, or want to take it to another level, I could see, and wouldn't be surprised if some already do, have the employees sign a confidentiality agreement.  Put whatever stipulations you are trying to protect/avoid.  These days IT can see everything anyone does.  I know IT monitors our student activity regularly for inappropriate web searches or downloads etc.  And you could include a section on conversation/communications and if they should be in writing or not, or in person only behind a closed door.
