Top Prospect Tracking

How are other institutions tracking pools of people or organizations in BBCRM?  Fundraising leadership is in the process of identifying key constituents (inds or orgs) to follow or track through the next campaign.  These constituents will likely cross portfolios so visibility is key.  They are currently adding them to a research list but only individuals can be added. I saw a post about using constituency codes, but we have a hierarchy setup and I feel that the flexibility for other "lists" will be limiting.  There is the attribute option as well or groups.

Seeking input.

Thank you in advance.

  • Hey Sarah,

You might consider a group.  SMU has used groups for this kind of thing in the past.  You can add a comment so you now why they were added to the group.  You can see all of their giving in one place.  We have reports that can run on groups.  We also have something we call managed groups.  It is a customization to automatically add and remove constituents from a group based on a selection.  I would be happy to chat about this, if you want.

    Thanks,

  • Brennan,

Thank you for your quick response.  Makes sense to take advantage of some of the group functionality.

Ill keep you posted if we come up with something other than groups!

    Thanks

  • Hi Sarah Jane,

We also use groups/committees to manage our 82 fundraising entities to manage their foundation board members, employees, etc. Then we pull the data into the data warehouse use logic to make those options site-specific for us. The main challenge folks had with using groups/committees is pulling the data in a query that can be resolved by building some new query views. We also built query templates to help folks pull the data.

  • Thank you Will for your input as well!
  • Hi Sarah,

The group/committee functionality is a good solution. You may also want to consider using the prospect flag functionality if you don't want to create a new record(s) for this purpose. The flag simply marks the prospect, but doesn't include start/end dates or comment. It is simple functionality, but does mark the record in the prospect status tile on the constituent record and it is available in query to create selections.

  • Hello Brennan,
We are exploring using groups for prospect management and
    reporting.

We have a good understanding of group set and management,
however, I am interested in how your area automatically keeps
portfolios in sync with the groups. Any advice?

    Thanks

    Sarah Jane
