Email Addressing Options for Direct Marketing?

Greetings,

Our organization allows our employees specify their preferred email address on their own individual records. I want to send a marketing effort to some of our employees to their work email address. The problem is some have their work email address listed as primary, and some have their personal email listed as primary. Can I set up a rule where the marketing effort is sent to the email address that contains "companyname.com" regardless of how they specified it on their record?

Thanks.

  • (Edited 3/30/21: realized later on that the below is only helpful if sending the email in BBIS, not as a Direct Marketing Effort). Just a thought on this - what if you added an email type of "X Organization Email" (for us, we'd probably call it "TCU Email") and loaded everyone's companyname.com in there.

You could have a separate email type (Primary or Personal; and flag it with the Primary indicator) where you could initially load their organization email, but then allow them to change/update that to their preferred email address (or don't load and just allow them to provide their preferred email).

Then, when you want to send to the organization email, you could select the "X Organization Email" email type when creating the marketing effort selection.

As an aside - we have chosen to always send to their Primary indicator email address, regardless of whether it is companyname.com or not - I totally understand where you are coming from on this, as it frustrates Loyalty Giving during our Faculty Staff Campaign.
  • We've had a similar occurence in our organization, how I've handled it was that I added a mailing preference and setup a specific appeal category code and then forced that mailing preference to be defined to the constituent's work email address instead of whatever is set to their primary email address.  Then it's just a matter of setting up your marketing effort tied to an appeal that lines up with the appeal category, site and business unit settings associated with this newly added mailing preference.  Since we have thousands of employee records we import a specific email type and then I just do a mass update on our SQL server to force the email address used on these to their work email address.

Then when we calculate the marketing effort in CRM it will spit out the correct email address.
