Issues with 5/26 Release

Hi all -

Please check that your grade books are working properly after today's release. There seems to be an issue entering grades. It is not calculating in the average for us when you enter a grade and when you leave the grade book and reopen it, the grades entered have disappeared. I chatted with support and they were "not able to replicate it" in different grade books they were working on. However, once he tried on ours he saw the issue. I hope this is marked as critical with final grades being due in the immediate future.

Also, another minor issue the ability to view a student's schedule via the directory is not working.  When our teachers look up a student and view their contact card there schedule says "There is nothing scheduled for this date.” Although, they are scheduled for classes.

    Hi Bryan -

What is your case number? I had an issue similar to this last week. Two teachers had grades disappear. One of them had it happen twice. Luckily on the third time, the grades finally stayed. We released report cards this past Saturday. Did you find this happened to all teachers? I’m not sure if it was coincidence but the two instances were for two sections of the same course that met in the same schedule block. I told support all this last week but they told me there had been no reports of a similar issue. I’d like to give them your case number so they can see if the two issues are related.

    Thanks,

    Susan

    Good Morning All,

Our team is working to resolve this issue. Gradebook grades are not currently saving to the gradebook, however if you double click into the gradebook cell to open the grade detail for the student, the grade should be able to be saved from that screen.

For further information and updates on the incident please refer to https://status.blackbaud.com/ .  We hope to have this issue resolved soon and apologize for the inconvenience this is currently causing.

I realized my post wasn't clear that our issue was with grades disappearing on the grading screen for report cards, not gradebook. We use grading formulas that pull from gradebook so I thought it possible the issues could be related. Once you get gradebook to retain the grades, make sure grading retains them as well. I spent an entire day Thursday dealing with it. Hope things get resolved for all of you that are trying to release grades today!
  • I have numerous faculty experiencing the same issues, any idea when this will be resolved?
  • It looks like in Firefox the grades are sticking. Anyone else?

Hi Bryan Lorenzo‍ I see Todd already updated on the gradebook issue but didn't see response to the one about schedules not appearing. I see this in the release notes for today's release so it looks like this was an intentional fix from the SIS team:

    Controlling access to student schedules
(NC - 1244431) Group Page Access settings can grant or restrict access to student schedules on pages in AcademicsEnrollment, and Parent.
Review your school’s current settings by accessing Core and going to Security, then Group page access. Some users, including parents who used the Schedule tab on a student profile, may now be denied access to student schedules unless you have granted permission via the settings on this page.
If you would like to grant access to a type of user (for example, Parent of Student in Class), select + Add Access, select the user type from the list that appears, and then select Add Access. The new access type will now appear as a row on Group page access. Any combination of check marks on the row (List Only, Bulletin Board, etc.) will grant access to the student schedules.
If you would like to deny access to a type of user that currently has access to student schedules, select the x icon next to that row to delete it, then select Confirm

    Hi Angie Addison‍ -

Thanks - we tried to give the role the List Only option but it still did not work. I have a case open with support on it.

I'm a bit confused. Since when does Group Page Access control schedules being viewable? That's always managed through schedule sets. Group page access has controlled bulletin board, topics, assignments, and rosters. If it is now controlling schedules, there should be a column for it as there is for the others. Am I just totally missing something here?

    Hi Susan Ott‍ ,

I am happy you inquired about this. Group Page Access has had a hand in the display of schedules since the days of Podium. If the constituent doesn't have access to the group page then the group will not be shown on the schedule. This allows for a bit more control on who can see the groups and when. The Schedule set controls when the schedule itself is published but as for seeing the actual groups, group page access must also be set in conjunction. The idea of adding a column to the group page access task is a good idea and I hope you will post it on our idea forum.

    Hey Todd DeSchuiteneer

Thanks for the reply. I totally did not think about the group itself not showing on the schedule due to the group page access settings. Since I turn off all access to groups, schedule, etc during the summer while scheduling is taking place and then turn it all back on at start of school, I forget about the dependencies of each on the other. It's kind of all or nothing - turn it all off for everybody except me, then turn it all back on for everyone.

Maybe I'm not understanding the release note from yesterday regarding viewing schedules, but I cannot for the life of me get this to work!  The release states "Group Page Access settings can grant or restrict access to student schedules on pages in Academics, Enrollment, and Parent. "

I have granted access to the appropriate role groups, and I assumed that meant they'd be able to view student schedules via Academics > People Finder and have the schedule appear as a tab, much like Attendance, Conduct, Contact Card, etc.  Being able to view a schedule tab from within Academics would be brilliant (I keep having to use the directory to view them now).

If that's not what is being described in the release note, can someone explain to me where "on pages in Academics"  one should view student schedules? The role groups who require access are teacher, academic group manager, platform manager, etc.

I don't want to create a case if I'm simply misunderstanding the functionality of the update.

Stephen Boyle‍ it sounds like there is some confusion here on the changes made to schedule visibility. Maybe you can take over the part of the thread? thanks!

    Hi Shirley Wagar‍ ,

I do think there just might be some confusion over where you should be seeing that schedule tab. Group Page Access is used in conjunction with Schedule Set access to control the view of that schedule for the persona roles. The fix that was released yesterday was to resolve an issue where regardless of group page access, groups were showing on the student's schedule for Parents.

When we refer to the personas, we talking specifically about the Faculty, Parent, Student functional areas. So when you log in, in the upper left you will see your personas, then the manager type functional areas like Academics, Extracurricular, Core etc. Those manager areas don't rely on the same access you would need for the Personas and this fix did not apply to them. The schedule tab will not appear via Academics > People Finder > Student record.

While that option sounds like a great idea to add to the idea bank, the issue released yesterday was simply to fix the access problem via those personas. The way you are viewing student schedules by directory or from the course roster is the best way.

I apologize for the confusion and frustration the wording might have caused.

    Thanks, Todd.

I've already added the "View Schedules from Academics" idea to the ideas bank.
