multiple organizations using 1 online express account
Alberta Accounting Assistant
I am wondering if anyone out there has a similar situation as my organization, we are sharing our database with 6 other charities within our Federation. We are all now wanting to start using Online Express but the catch is receipting we all have different charitable numbers, addresses as well as different people with signing authority. I would like to know if anyone else out there has done this before and how they have dealt with it? Is there a way to turn off receipting and then receipt it still using OLX? Is there something else that you have had to do to setup your OLX and maintain it?

- I am not apart of an organization that has a similar situation as to yours, but I can provide a recommendation based on what I know about OLX.
As you are located in Canada, I would recommend you forgo receipting online and mail out receipts to OLX donors. It is not possible to change the receipt information to more than one charity, nor is it possible to do conditionals in OLX. If the donation platform you are currently using is able to accommodate your organization's complex needs I would keep it, instead of switching to product that will create more work for you and your colleagues.

I am located in Canada. I was thinking that we wouldn't have OLX receipt the receipts as I don't think it is possible to generate them with all the different organizations information and the limitations in OLX. Can I assume that the best practice in your opinion would be to push the donations to batch then receipt them where it be electronically or via mail? Right now the system we are using is all separate website's and we are trying to combine them to simplify our collective websites and have a unified feel to the Federation. Our donation pages are also incredibly poor which is why we are hoping to move onto a different platform.

Yes, that is my recommendation - to run receipts on gifts after they are downloaded into a batch and committed to your database.
Once you establish what you want your standard donation form to include, you could build a different form for each of the websites so that you can easily track where the donations are coming from and make any adjustments to their coding in batch before committing them to the system.
