BBCRM - Fundraiser's Portfolio & Spouses

Hello All!

Hope everyone is safe and well.

Has anyone come up with a way in BBCRM to associate a prospect's spouse with the associated prospect without assigning them to a fundraiser?  We have found that if you assign a spouse to a fundraiser then the fundraiser's portfolio, fundraiser dashboard, prospect lists, and plans all double in size.  In reality (at least ours) the spouse is really a prospect by association (unless they have their own individual giving).  Assigning spouses who aren't the main prospect to fundraisers causes data lists and forms to show both which causes lists to be way too large.  Anyone find a way to associate them with a fundraiser without assigning them?  I know we can use attributes but I was hoping there was a more systematic way or setting that would be easier than having to account for the attribute in queries and reports.

Thanks in advance and happy (and more importantly, healthy) holidays!  #@%&*!2020

  • We only assign a prospect manager to the Primary HH member. We have a system notification on the non-primary member of a managed household to point them to the primary member's constituent account. We basically manage almost all things from the primary HH member account (prospect manager, prospect plan(s) and associated opportunities, etc). If we have information that is specific to the non-primary member, like a specific relationship with another constituent or contact info, then of course that would go with the non-primary member.

I am happy to talk more specifics if you would like!

  • Hi Adam Wiles‍

A way to link the prospect to their spouse is to use the plan participant on the Prospect plan.  That's how we link the main prospect with their partner or other relevant individual.  You can also use the Relationship functionality but using the Prospect Plan function is particuarly useful.  It also means that the plan shows on the participants record but isn't double counted.

  • Hi Adam,

One way we have addressed this is by using the Prospect Status field. The main prospect is categorized "Primary Prospect," and their family members and giving vehicles are categorized as "Non-Primary Prospect." We assign them all to a Prospect Manager, but we only count those with "Primary Prospect" when determining the size of a person's portfolio.

We have a few other statuses we use as well for different situations - happy to chat about this if that would be helpful.

  • Hi Adam,

Like many, we only assign one member of a HH to avoid portfolio bloat. There's always exceptions to this rule, but overall we have less than a dozen HH where both spouses are assigned. To track this, and for fundraisers to know that a spouse is "off limits" we created a new status role: "Spouse is Assigned". Meaning the non-assigned HH member has this as their prospect status. A nightly job runs that screens for all our assignment types (we are currently up to 3 main--Prospect Mgr, Stewardship Mgr, Discovery Mgr), and if that field has one of these, the spouse status field becomes "Spouse is Assigned". Since we pretty much have customized the majority of the prospect functional area, we were able to build our reports to exclude this status from any counts.
