workflows for stewardship

Susan Vogel

HI, i am intrigued by RE workflows and feel there could be some stewardship opportunities to implement. before i reinvent the wheel, what processes do you have in place that my staff could utilize as part of an overall stewardship program. Thanks!

We are using a workflow for upcoming birthdays by using the tag for this.

Hi. We are a small liberal arts college and we use workflows for stewardship. The workflows are set up to assign an action to a particular gift officer, me (the DB manager) and our stewardship manager depending upon the gift. If it is a new donor, 3 actions are assigned, one to the stewardship manager to create a welcome packet and send it to the donor. At the same time an action is created for the gift officer within the gift amount range. The gift officer will then send a hand written thank you note to the donor. The 3rd action is assigned to me to add a note to the donor record that they will get an e-version or hard-copy version (depending on amount of the gift) of our semi-annual magazine. We have been using it for nearly 6 months and it has worked really well. The tricky part is not duplicating your lists so that the gift officers are getting multiple actions for the same thing / donor. Once the workflows are running, the process is awesome.

Here is a screenshot of the active workflows that power this process:

Hope this helps.

Lynnette Fisher‍ How were you able to do the gift ranges in your workflow? I was unable to find an option for this in the workflow desiger,

Lynnette Fisher

The workflows are driven by lists. I just used a gift list and used the time frame of "Prior week" and the gift amount range. You have to have a different list for each workflow.

Marie Stark

Did you use a constituent list? I don't have the option of choosing a gift list.

Lynnette Fisher

Yes, Constituent lists using filters. - Sorry.

Marie Stark

Thank you!

Lynnette Fisher

You're welcome.

We use the workflow to send a daily birthday card to constituents if their birthday equals "today". We also use it for new donors to receive a special email.

Can you add or create anew condition not based on giving?

Where did you learn to set up the b'day cards? Did Workflow Designer classes teach you how?

Are these workflows dynamic yet? I had heard that a constituent can only be added once to the workflow. Is that still true?

This is terrific! Are you able to do the same thing with cumulative gifts? If cumulative giving in a year reaches a level, can it trigger a workflow? Thanks!

Hi. Can you share a screen shot with the “actions” of the workflow itself?

I'm new to RE and to Workflow, but believe it could really help streamline things.

Thanks
