Excluding envelopes

Hi, is there away to exclude envelopes from printing? After I process a batch, I don't need envelopes for all letters (for instance, new members get a packet and gifts of $50+ get a special gift so their letter is mailed in a bigger envelope). Therefore, I want to set it so that depending on what letter code I choose, an envelope is printed, or not. Any thoughts on how to do this?

What comes to mind are a few options. Assuming you have a query for the batch. There may be more.

1. merge the envelopes to Word instead of printing and delete the unwanted ones from the Word doc before printing.
2. create a query using your batch query with criteria letter code one of / not one of to get just the records you want. Use that query for selected records in your envelope merge.
3. If batch is relatively small and you know whose envelopes you don't need you could take your batch query and bring it into a list query where you could delete the records you do not want.

I agree with the options JoAnn has provided. You could also build a reusable query that restricts available gifts based on letter code and lists the batch number field with the "ask" operator. When you go to run your envelopes, this query will prompt you to enter a batch number and only print the envelopes you are looking for.
