Global Deleting Notes

I am trying to delete constituent notes which are blank. I don't know how those were added in the past. I created a query of constituents who have blank notes. Global deleting or global changing would delete all notes in the constituent records including the ones that shouldn't be deleted. Is there a way to delete those blank notes only?

  • You can globally delete based on date(s) and types of notes. First step is to create a query that includes all records to be changed. Then choose a date less than or + to the latest note date. Finally choose note type from the drop down (actually drop across) list.

I would test this with a couple of records with those pesky blank notes and make sure your global delete does nothing but what you want it to do.

This would probably delete the same type notes in the same time period which are not supposed to be deleted.

What I would do is create a new note type called 'Delete' and do an import first, to change all the note types for the blank notes, and then when I do the global delete I can just select that 'Delete' note type as Mark mentioned. Then it's definitely only going to get rid of the blank ones, and there's no need to filter by date range.

This sounds good. I will try, thank you!
