Annual procedures

Hi all,

As the school year comes to a close I'd love to hear what you do as regards your summer work to clean up your data in Enrollment Management and prepare your database for the next admission season.

I think last year I participated in the Core Annual Procedures 3-hour class with Blackbaud University and it was probably helpful at the time but since that was Covid-time and my memory of the class and the content is blurry at best. So, as we approach the end of this admission cycle I'd love the benefit of hearing from you what you recommend, what are your best practices, and what have you learned from past experience that you'd like to share? For example, maybe you inactivate all Inquiries for the 2021-22 year of entry, maybe you make those inquiries active records a future year so as to not lose track of them. Any other thoughts/ideas? When/where/how do you set the next admission year?

p.s. our Registrar does the roll-over in Core so I'm not directly involved in that process. For this discussion, I'm mainly interested in what you're doing in Enrollment Management.

  • Hi Kathy, I'm sure our schools have many ideas they can give you, but I wanted to mention that we're adding the ability to delete old files in bulk, and I would certainly file that under tasks that I would do at the end of the year. I know many of our schools do also take that time to inactivate candidates that did not/are not going to complete the admissions process. The next admissions year is set in core>settings>school information>years and terms.
