What to do with the batch after downloading online express transactions?

I know how to download online express transactions but I can't get the thank you letters to work when I have the batch committed.

Are you running the letters out of Mail? If so, make sure you add the letter code to the batch before you commit the batch, then select the batch number when you are doing the conditional merge in Donor Acknowledgement letters. (Assuming you have more than one letter type.)

Good morning, Emily. Is this a new issue you're having? In other words, were you able to process letters in the past and now it's just not working?

I just had someone reach out to me with a similar question. I ran an OLX donation earlier this week with no issues with the letter. I'm thinking our letters may be set up differently than many others but it still worked.

If the OLX form being used new? Could there be an issue with mapping the fund? Or is that fund not included in a letter and should be? Those are the thoughts I had.

I add the letter code, commit the batch, and then when I am running a conditional merge with the online express donation batch it just keeps coming up as ‘invalid’. Basically I am looking for some good detailed instructions on how to properly run online express donation batches so that I can give the donor an acknowledgement letter.

Just a check - are you running a merge for receipts or donor acknowledgement letter? I ask as gifts may be marked as receipted coming in from OLX and thus will pull no results if you're running receipts.

In the batch, does it display acknowledgement status? I work with NetCommunity, not OLX, so not sure if you could inadvertently have them coming in marked as acknowledged already.

Just trying to think of possible causes.

OLX does not usually mark gifts as acknowledged, but often it does not mark them as anything under the Acknowledgement field in batch. I have occasionally gone to process an OLX batch, and the Validation report runs fine, but then there's a gift missing off the Commit report - and when I look the reason is because that Acknowledge field was blank in just one or two of the gifts. So I would

• open up your batch and check that the Acknowledge field has “Not acknowledged” in the values for all gifts
• If so, then pull the gifts in a query and link to your Mail merge, and see if that improves the issue.

When I run OLX batches, I do not enter a letter code in the batch. I do not feel our letters were set up to be very flexible, though, as I open different letters based on the funds. I know this can be circumvented but just haven't taken the time to revamp it all with the other cleanup happening. Are you able to just open the acknowledgement letter and run from there with no issues?

Hi Emily,

You can create thank you letters for your donors directly in Online Express when you create a donation page.

You can add all of the needed Tax information so your donor can claim their gift if they choose. Our Organization has now transitioned all our donation forms to NXT and we have auto generated thank yous here as well.
