Database Clean up policy

Good morning: I am newer to RE and we are going to be migrating to NXT very soon. We have a number of donors in our database that are inactive and/or deceased. The previous office staff added everyone to our database even if they are only next of kin for a memorial donation.

We are a hospital foundation so memorial donations are a huge part of our work but keeping those “constituents” takes up space.

Does anyone have a formal workplace policy on database clean up and when removing an inactive constituent is acceptable? After 5 years, 10 years etc.

I would appreciate any suggestions/input.

  • Hi Kim, this is an ongoing subject of debate in the community – try looking through some old threads by searching ‘deleting constituents’ or ‘database cleanup’ etc, in the search bar. There should be plenty of info for you there.
