Visit/Tour Status

Hello, I am trying to add a status of Visit/Tour to the checklist. Our issue is if we put it after the application and the candidate Visits before completing the application - the status does not update. Same as if we put Visit before the Application Status - if they apply before visiting the status does not update to Applied. How have other schools resolved this issue to have an accurate accounting of who is at each status? Thanks!

On our checklist we go from Inquiry status to Applicant status so we have visit right after application step. That way we know how many have inquired and applied so the visit status does not affect those status changes.

Thanks Coco, that is how we currently have it setup too. Was hoping to find a way to have a status of Visit too. I haven't had success yet though.

If you have candidates who are submitting applications and touring in different orders, it may not be ideal to have Visit/Tour as its own status. The way that statuses and checklists work is that the status change is tied to the milestone. Until a milestone is complete, candidate families cannot proceed to the next milestone or change status. You could potentially have two different versions of the checklist, one with visit first and one with application first, but that would also necessitate some manual work when scheduling visits or processing applications.

It has been so long since I have changed out statuses, but maybe you could add a visit/applied complete status right after application and visit? That might be naive of me though

What is your goal with the “visit” status? In terms of “Applicant,” it indicates that the application has been submitted and allows you to capture all candidates who have completed a certain portion of the admissions journey. If visits do not happen at a uniform time on that journey, it may not necessarily make sense for “visit” to be its own status.

The staff wishes to easily see who has visited but not yet applied. You hit the nail on the head. Visits do not happen in "order" i.e. visit, interview then apply. This is truly a hangover from Education Edge and I am still trying to explain why having that status does not work in Enrollment Management. They would like families to do the process 'in order" - visit and interview before applying (it's what they spend all fall doing) but it just does not happen that way. Thanks to all for confirming it is simply not possible - it is what I expected.

I have interview (visit) as a checklist item that is part of a complete application. If someone does the interview/visit prior to applying I have a checklist item that I mark that changes the candidates status to “In Progress” so that I know anyone with that status has done something but hasn't actually submitted an application yet.

You can create a list and include a column, such as Application date submitted, and a column for the visit checklist item. You can filter your list based on a particular application form name (if you have more than one application form) and based on a checklist step (or steps). Would that give you the info you need?
